About the Role

We are seeking a highly motivated and organized HR Administrator to join our team at Toyota. As an HR Administrator, you will play a critical role in supporting the Human Resources Development (HRD) group with new hire orientation, special events, and other administrative responsibilities and projects.

Key Responsibilities
  • Support the HRD group with new hire orientation, including coordinating logistics and ensuring a smooth onboarding process.
  • Coordinate special events and training classes, including ordering and setup of food and beverages.
  • Track expenses and ensure budget is met, establishing new blanket Purchase Orders each fiscal year for recurring expenses.
  • Filing records that need to be kept for HR compliance purposes, including confidential paperwork.
  • Provide presentations and general training to new hire groups, including assistance with setting up direct deposit, PPE, and phones with Toyota apps.
  • Assist with ordering, catering, and setting up food for HR department meetings and events.
  • Manage and support the bereavement process, including ordering flowers and bereavement boxes.
  • Support Quality Control Circle, Advanced Manufacturing Technology, and Advanced Technology Manufacturing Academies program events and weekly reflection activities.
  • Support daily ordering and budgetary requests, including creating purchase requisitions and reconciling invoices.
Requirements
  • Experience in HR training and development (minimum of one year).
  • Proficiency with Microsoft Excel, including creating and using formulas, pivot tables, and graphs.
  • Proficiency with Microsoft PowerPoint, including creating presentations with animations.
  • Experience with Ariba system, including creating purchase requisitions, receiving invoices, and resolving reconciliation issues.
  • Budget management experience, including effective problem-solving to address budgetary issues.
  • Proven ability to successfully communicate, interact, and present to all levels of the organization.
  • Ability to work on multiple projects simultaneously and flexibility to adjust to changing needs.
  • Experience managing highly confidential information.
  • Experience supporting administrative duties for multiple groups with minimal supervision.
Preferred Qualifications
  • Knowledge of Toyota Way and Toyota Production System (TPS).
  • Experience working in a manufacturing environment or for staffing agencies hiring for manufacturing environments.
  • Experience resolving new hire onboarding issues.
  • Experience with Stay Surveys/retention surveys and conducting follow-up conversations.
