Guest Services Representative

Position Summary:
The Full-time Front Desk Clerk serves as the primary point of contact for guests, ensuring a seamless front office operation. This role involves assisting with the check-in and check-out processes, while keeping management informed about relevant information regarding rental units and guest experiences. The ideal candidate should possess a friendly demeanor and be capable of engaging with guests in a professional and helpful manner. Availability during weekends and evenings is essential.
Key Responsibilities:
- Deliver exceptional customer service and support to guests with inquiries through various communication channels.
- Facilitate a pleasant vacation experience from arrival to departure, providing information on amenities, activities, and local events.
- Perform basic administrative tasks, including answering phone calls, filing, and other clerical duties as required.
- Handle unit reservations through phone and email requests.
- Ensure accuracy and completeness of guest documentation, preparing check-in packages for arrivals.
- Generate guest reservation cards for incoming guests.
- Conduct inspections of condo units before and after guest stays.
- Process maintenance requests for units and shared areas.
- Address guest inquiries, suggestions, and minor complaints, escalating issues to management as necessary.
- Communicate and uphold property policies and procedures.
- Manage key card creation, parking pass distribution, and mail/package sorting.
- Perform additional duties as assigned based on operational needs.
Qualifications:
- High school diploma or equivalent.
- Prior experience in customer service is required.
- Familiarity with computer applications is essential.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
Physical Requirements:
In this role, employees are often required to stand, communicate, and hear. Frequent walking, lifting, and handling of items are necessary, with the ability to lift up to 10 pounds regularly and up to 25 pounds occasionally. Any lifting exceeding 25 pounds should be done with assistance or equipment.
