Position Overview:


Texas Oncology is seeking an Appointment Coordinator to become a vital part of our team. This role will primarily focus on managing patient appointments and facilitating communication between patients and medical personnel.

This is a full-time position, operating Monday through Friday from 8:30 AM to 5 PM, with no weekend or holiday obligations.

This role may be classified as Level 1, 2, or Senior, depending on the applicant's qualifications and experience.

Key Responsibilities:
The primary duties and responsibilities include but are not limited to:

1. Answering incoming calls, assessing the needs of callers, and directing them to the appropriate personnel.
2. Scheduling appointments for new patients, referrals, and returning patients in accordance with office protocols.
3. Maintaining accurate patient records and documentation within the electronic medical records (EMR) system.
4. Collecting co-pays and other payments at the time of service.
5. Managing the scheduling template to ensure efficient office operations.
6. Coordinating financial counseling for patients as necessary.
7. Upholding patient confidentiality and adhering to clinic policies and procedures.
8. Preparing correspondence and documentation as requested by supervisors.
9. Scheduling outpatient appointments, tests, and surgeries as needed, ensuring all necessary pre-certifications are obtained.
10. Following up on pre-operative tests to ensure patients are cleared for surgical procedures and scheduling post-operative follow-ups.

Qualifications:
The ideal candidate for the Appointment Coordinator position will possess the following qualifications:

- Level 1: High school diploma or equivalent required; entry-level position with 0-3 years of experience, preferably in a medical office.
- Level 2: Minimum of three years of office experience, ideally in a medical setting.
- Senior Level: Minimum of five years of office experience, with a strong understanding of medical terminology and coding.
- Excellent communication skills, both written and verbal, are essential.
- Proficiency in Microsoft Office applications (Outlook, Word, Excel) is required.
