Job Overview:

The role involves providing high-level administrative support to the Director of Education and Training. Key responsibilities include composing various forms of correspondence such as letters, memos, and reports without the need for dictation. The position also entails organizing and maintaining filing systems, managing communication by receiving and relaying messages, scheduling appointments, and overseeing the routing of office mail.

Additional responsibilities include managing supply orders through the Purchasing and Requisition Tracking System (PARTS), ensuring accurate purchase logs, and compiling time reports using PeopleSoft Systems for various programs.

Core Responsibilities:

- Efficiently manage the Education and Training office, which includes drafting correspondence and maintaining organized filing systems.

- Coordinate travel arrangements and meetings, including the preparation of meeting minutes.

- Assist in the preparation of essential Human Resource documentation.

- Serve as the primary computer operator for the Education and Training Department, which encompasses various programs.

- Support other departments by undertaking projects and completing typing and filing tasks as directed by the Education Director.

- Participate in disaster response and recovery efforts or Continuity of Operations (COOP) activation as required, which may involve alternate shift patterns.


Required Skills and Qualifications:
- Strong writing and editing abilities.

- Proficient in drafting professional emails and operating various electronic devices.

- Excellent computer skills, including typing at a speed of 50+ words per minute and proficiency in creating presentations and documents.

- Ability to communicate effectively, both verbally and in writing, with colleagues and external contacts.

- Professional demeanor in handling phone communications and message-taking.
