Talent Acquisition Coordinator

Reporting Structure: Reports to the Director of Human Resources & Payroll

Role Summary

The Talent Acquisition Coordinator will oversee the entire employee lifecycle, from initial interest to departure, while promoting diversity, equity, and inclusion as core values of our operations. This role will establish and nurture relationships with community partners to effectively represent our organization and attract the necessary talent to support our operations.

Key Responsibilities

  • Manage recruitment initiatives, including organizing and participating in job fairs and outreach events.
  • Facilitate all staffing processes, from recruitment to onboarding and offboarding.
  • Collaborate with management teams to enhance understanding of onboarding and training protocols.
  • Build and maintain professional relationships with staff by being actively present during operational hours.
  • Ensure adherence to all applicable Federal, State, and Local regulations.
  • Deliver presentations on employee experiences to management.
  • Advocate for and inform staff about incentive programs.
  • Stay informed on evolving hiring laws and best practices.
  • Support various business initiatives requiring Human Resources and Payroll assistance.
  • Participate in organizational meetings and events as necessary.
  • Uphold a high standard of professionalism, ethics, and confidentiality.
  • Encourage a collaborative, team-oriented environment in all communications.
  • Exhibit professionalism in appearance and conduct, providing excellent internal and external customer service.
  • Assist in the organization and management of personnel recordkeeping functions.
  • Provide regular updates to employees and managers regarding Human Resources news and developments.
  • Coordinate the onboarding process for new hires through our applicant tracking system and in-person orientations.
  • Drive talent acquisition efforts through sourcing, career fairs, and networking, representing the organization with professionalism.
  • Assist in managing college recruitment initiatives and maintain the recruitment calendar.
  • Lead the internship program by recruiting candidates, coordinating schedules, and following up on intern experiences.
  • Maintain accurate records in HRIS and recruiting/onboarding software.
  • Support the maintenance of employee personnel files.
  • Engage in employee recognition and engagement initiatives, educating staff on employment opportunities and benefits.
  • Provide administrative and procedural support as required.
  • Perform other duties as assigned.

Physical Requirements

In this role, the employee will frequently operate a computer and other office equipment. The position requires mobility within various areas of the facility to interact with clients and supervise staff during events. Effective communication via phone, email, and in-person is essential. The employee may occasionally need to lift or move items weighing up to 50 pounds due to operational demands.

Work Schedule

This is a full-time position with variable hours, including potential nights, weekends, and holidays based on event requirements.

Qualifications

  • A Bachelor's degree in a relevant field or equivalent professional experience.
  • Minimum of two years of experience in recruitment, talent development, or a similar capacity.
  • Ability to utilize various social media platforms for talent sourcing.
  • Strong customer service orientation and responsiveness in communications.
  • Proficiency in Microsoft Office Suite and other necessary computer applications.
  • Excellent organizational skills with the ability to manage multiple priorities effectively.
  • Capability to handle sensitive information with discretion and professionalism.
  • Strong teamwork and collaboration skills.
  • Effective oral and written communication abilities.
  • Willingness to work flexible hours, including nights and weekends as needed.
  • Demonstrated commitment to continuous improvement in processes and procedures.
  • Ability to work independently with minimal supervision.
  • Successful completion of a criminal background check and drug screening is required.

Preferred Qualifications

  • Fluency in multiple languages.
  • Advanced degree in Human Resources or a related field.
  • Certification in Recruitment or Talent Sourcing.
  • Experience with Clear Company Applicant Tracking System.
  • Familiarity with NOVATime Time & Attendance System.
  • Experience with 1Huddle.
