Position Summary

The team is dedicated to comprehending business needs and delivering exceptional experiences to our clientele. The Project Management division is committed to enhancing productivity throughout the creative workflow to achieve outstanding results efficiently. Project Coordinators collaborate with creative and strategic leaders to drive remarkable outcomes and inventive solutions.

As logistical specialists, they maintain a broad perspective while focusing on the finer details, utilizing robust communication, organizational, and project management abilities to support and empower the team in achieving their highest potential.

The role requires adept project and program managers who are actively engaged in delivering marketing initiatives in collaboration with diverse stakeholders. Responsibilities include overseeing the creative process from conception to completion for small to medium-sized projects. Types of deliverables may encompass digital communications, web content, social media, promotional materials, video production, print media, editorial content, and photography.

Project Coordinators will gather and organize all pertinent information, serving as the primary contact for their projects. They will assist in defining the scope of each project, formulating an approach that is approved by the team and stakeholders, and managing the seamless progression of creative work from briefing through production and finalization.

Key Responsibilities:

  • Employ creative problem-solving skills to achieve results in a dynamic, innovative setting.
  • Steer projects towards optimal outcomes, considering team and business priorities.
  • Contribute to and help refine an evolving process rollout across the team and broader marketing organization.
  • Aim to manage large-scale projects while developing program management and operational expertise.
  • Create, maintain, and distribute status reports, including detailed project timelines, tracking all ongoing projects; lead regular status meetings to review project progress and inform the team of any updates.
  • Develop project plans and briefing documents in collaboration with the Account team that clearly delineate deliverables, project strategies, and milestones.
  • Facilitate briefings as necessary, ensuring team members comprehend deliverables and timelines.
  • Present clear and concise project requests during weekly resource meetings.
  • Enhance communication among team members to ensure deadlines are met; schedule internal and team creative reviews, ensuring team members are aware of subsequent steps; follow up with written summaries.
  • Route creative materials, including copy documents, presentations, digital files, and other resources as needed for review, editing, and approval.
  • Organize debriefs with Account, Strategy, and Creative team members to discuss feedback and confirm next steps after client presentations.
  • Ensure operational systems are meticulously maintained.

Qualifications:
  • 5+ years of experience in project management or campaign production.
  • Strong written and verbal communication skills.
  • Experience collaborating with creative teams (designers, copywriters, editors, etc.).
  • Collaborative mindset with a commitment to achieving the best outcomes from teams.
  • Attention to efficiency and innovative problem-solving.
  • Familiarity with project management tools is advantageous.
