Position Overview:

The Project Management Assistant plays a crucial role in supporting the Senior Project Manager throughout all phases of the project, ensuring the effective execution and delivery of office renovations and buildouts ("Project"). In this role, you will assist in defining project scope and timelines while maintaining client satisfaction throughout the entire process. Your responsibilities will include ensuring that project management activities align with both the client's and ACRE's established policies and procedures.

Key Responsibilities:

  • Collaborate with the Senior Project Manager on all aspects of project management, including planning, design, construction, relocation, and project closeout.
  • Exhibit the ability to read, comprehend, and apply standard documents related to real estate projects, such as agreements, contracts, leases, work letters, surveys, and drawings.
  • Engage directly with clients to clarify project requirements. Prepare project scope, resource allocation, cost estimates, budget, work plans, schedules, quality control measures, and risk assessments.
  • Identify project delivery resources from pre-approved lists; conduct simple requests for proposals; perform bid analysis with management support; and recommend resources to clients.
  • Provide guidance and direction to ensure project objectives are met.
  • Proficient in Microsoft Suite (particularly Word and Excel) and Microsoft Project.
  • Implement a communication strategy for meetings and written reports/minutes to keep clients and project resources informed. Facilitate project meetings effectively.
  • Establish project documentation governance in accordance with ACRE and client requirements. Ensure project data integrity and documentation is accurate, timely, and well-coordinated.
  • Monitor project progress against goals, objectives, budgets, and timelines. Report on status and variances. Develop action plans to achieve objectives, budgets, and schedules.
  • Devise innovative and timely solutions to challenges by evaluating situations to determine importance, urgency, and risks; identifying root causes; gathering and processing relevant information; and making clear recommendations or decisions for resolution that are timely and in the organization's best interest.

Qualifications and Skills:

  • Ability to communicate clearly, concisely, and professionally; demonstrate strong written, verbal, listening, and presentation skills to effectively interact and coordinate both technical and non-technical issues with the internal project team, clients, and other consultants.
  • Capable of managing work independently while effectively delegating and utilizing other ACRE staff and productive partners.
  • Exhibit excellent organizational and time management skills regarding projects, reports, and other commitments, ensuring assignments are completed with quality and timeliness.
  • Maintain a positive, self-motivated, and proactive attitude.

Education and Experience:

  • A Bachelor's Degree in architecture, construction, or engineering is preferred.
  • 1-4 years of experience in a related field.
