Senior Events Coordinator

The Senior Events Coordinator plays a pivotal role in providing organizational and administrative assistance to the Events Manager, ensuring that objectives are met in line with established priorities, timelines, and specifications. The ideal candidate will exhibit high levels of motivation, energy, and self-direction, coupled with exceptional organizational capabilities and meticulous attention to detail.

COMPENSATION AND BENEFITS:

Securitas offers a competitive starting salary of $87,500K, commensurate with experience, alongside a comprehensive benefits package that includes:

Position Overview:

The role of an events coordinator encompasses the planning, organization, and execution of events. Key responsibilities include:

Event Planning

Conceptualizing Events: Grasping the event's purpose and objectives, including the target demographic.

Budget Management: Developing and overseeing the event budget, ensuring accurate cost estimations for all components.

Venue Selection: Identifying and securing suitable venues for events.

Scheduling: Establishing dates and times for events while avoiding conflicts with other major occurrences.

Vendor and Supplier Coordination

Contract Negotiation: Sourcing and negotiating agreements with vendors, suppliers, and service providers (e.g., catering, audiovisual, transportation).

Coordination: Ensuring all vendors are synchronized with event requirements and timelines.

Quality Assurance: Monitoring the quality and punctuality of vendor services.

Logistics Management

Permits and Licenses: Securing necessary permits or licenses for events.

Transportation and Accommodation: Arranging travel and lodging for guests, speakers, or performers as needed.

Setup and Breakdown: Coordinating the preparation and dismantling of event spaces.

Event Marketing and Promotion

Promotional Strategies: Formulating and executing marketing plans to promote events, including social media, email campaigns, and traditional advertising.

Design and Content Creation: Overseeing the development of promotional materials, such as flyers, banners, and invitations.

Registration and Ticketing: Managing guest registration, ticket sales, and entry logistics.

On-Site Event Management

Event Oversight: Supervising event setup to ensure all elements are in place prior to commencement.

Coordination: Serving as the primary contact for all involved parties, including vendors, staff, and attendees.

Problem Resolution: Addressing any issues that arise during the event and making real-time decisions to ensure success.

Attendee Experience: Guaranteeing a positive experience for attendees by managing event flow, guest services, and troubleshooting problems.

Post-Event Activities

Evaluation: Conducting assessments post-event to gauge success and gather feedback.

Financial Reconciliation: Finalizing payments, reviewing budget performance, and preparing financial reports.

Thank You Communications: Sending appreciation notes or emails to attendees, sponsors, and vendors.

Compliance and Safety

Risk Management: Identifying potential risks and implementing safety and emergency protocols.

Health and Safety Compliance: Ensuring adherence to health and safety standards and regulations.

Team Management

Staff Coordination: Recruiting, training, and supervising event staff or volunteers.

Task Delegation: Assigning responsibilities to team members.

Stakeholder Communication

Client Updates: Regularly informing clients or stakeholders about event progress.

Reporting: Providing comprehensive reports to clients or management following the event.

Qualifications:

  • Strong organizational, communication, and problem-solving skills, with the ability to perform under pressure and manage multiple tasks simultaneously.
  • 5-6 years of experience in event management, demonstrating a successful track record in managing various corporate client events.
  • Robust project management skills, capable of leading multiple events from inception to completion.
  • Excellent written and verbal communication skills, with the ability to create targeted content and engage effectively with diverse groups.
  • Willingness to travel locally for events.
  • Bachelor's degree in Marketing, Communications, Event Management, or a related field.
