Responsibilities:
  • Payroll:
    • Process time cards.
    • Generate certified payroll reports.
  • Accounting Payable/Purchasing:
    • Organize raw material information.
    • Place raw material orders and create purchase orders in QuickBooks.
    • Log all buyouts in Smartsheet and update shipping information.
    • Reconcile purchase orders with invoices and packing slips.
    • Process and pay bills.
    • Reconcile credit card bills with receipts.
    • Obtain bill approvals prior to releasing payments.
    • File bills.
  • Contracts:
    • Request for Information from General Contractors (GC) and log initial comments in Smartsheet.
    • File Payroll Compliance Documents after Contract Execution.
    • File Bid Prequal information for Estimators.
  • Other:
    • Assist with administrative tasks.
    • Monitor/purchase supplies, bank errands, and other office needs.
    • Support the Controller with projects and yearly tasks.
    • Track compliance for paint VOCs.
    • Maintain safety meeting records.
    • Track equipment maintenance.
