Position Overview:
The role of a Medical Reception Coordinator, also referred to as a Client Account Specialist, is vital for managing the daily interactions and account activities of our clientele. This position is instrumental in fostering customer retention and satisfaction, acting as the primary representative of our organization.

Key Responsibilities:

  1. Patient Engagement: Warmly welcoming patients, handling incoming calls, and addressing inquiries efficiently. Providing comprehensive information about our services, scheduling appointments, and guiding patients within the facility.
  2. Appointment Management: Effectively overseeing the appointment calendar to minimize conflicts and ensure accurate scheduling. Collaborating with healthcare professionals and staff to meet patient needs.
  3. Check-In/Check-Out Duties: Collecting essential patient information, verifying insurance details, and assisting with necessary documentation. Processing payments and issuing receipts as required.
  4. Administrative Assistance: Conducting various administrative functions such as record-keeping, data entry, and maintaining patient confidentiality. Coordinating referrals and managing medical record requests as directed.
  5. Communication Facilitation: Acting as a liaison among patients, healthcare providers, and staff. Delivering important updates, scheduling changes, and ensuring accurate information flow.
  6. Issue Resolution: Professionally addressing patient concerns and complaints, resolving issues promptly, and knowing when to escalate matters to senior staff.
  7. Multitasking and Prioritization: Juggling multiple responsibilities in a dynamic environment while maintaining attention to detail and accuracy.

Essential Skills and Qualifications:

  1. Exceptional communication and interpersonal skills.
  2. Strong organizational skills with meticulous attention to detail.
  3. Familiarity with medical terminology and healthcare procedures, including HIPAA compliance.
  4. Ability to maintain composure under pressure.
  5. Customer service-focused approach with an emphasis on patient satisfaction.
  6. Proficiency in computer applications and electronic medical record systems.
  7. Adaptability to shifting priorities and schedules.
  8. High school diploma or GED required.
  9. Preferred experience as a medical assistant.
  10. A minimum of six months of experience in a medical front office reception role.
