Position Overview:
The role of a Medical Office Reception Coordinator, also referred to as a Client Services Manager, is pivotal in managing the daily account activities of our clientele. This position is integral to customer retention, serving as the primary representative of the company to ensure client satisfaction and engagement.

Key Responsibilities:

  • Patient Engagement:
    Welcoming patients with professionalism and warmth, handling incoming calls, and addressing inquiries efficiently. Providing detailed information about our services, managing appointment scheduling, and guiding patients to the appropriate areas within our facility.
  • Appointment Management:
    Effectively overseeing the appointment calendar to minimize scheduling conflicts and ensure accurate record-keeping. This may involve collaboration with healthcare professionals and staff to meet patient needs.
  • Check-In and Check-Out:
    Gathering patient information, verifying insurance details, and ensuring eligibility. Assisting patients in completing necessary documentation and processing payments as required.
  • Administrative Duties:
    Executing various administrative functions such as filing, data entry, and maintaining patient records in accordance with confidentiality standards. Coordinating referrals and medical record requests as instructed by healthcare providers.
  • Communication Facilitation:
    Acting as a liaison between patients, healthcare professionals, and other staff members. Effectively communicating important updates, scheduling modifications, and ensuring accurate information relay.
  • Issue Resolution:
    Professionally addressing patient concerns or complaints and resolving issues promptly. Knowing when to escalate matters to higher-level staff when necessary.
  • Multitasking and Prioritization:
    Handling multiple responsibilities in a fast-paced environment while prioritizing urgent matters and maintaining attention to detail.

Qualifications:

  • Exceptional communication and interpersonal skills.
  • Strong organizational skills and meticulous attention to detail.
  • Proficiency in medical terminology and a solid understanding of healthcare procedures and HIPAA regulations.
  • Ability to maintain composure under pressure.
  • Customer service-oriented approach with a focus on patient satisfaction.
  • Familiarity with computer software and electronic medical records systems.
  • Flexibility and adaptability to changing priorities.
  • Proof of high school diploma or GED; medical assistant experience is preferred.
  • Minimum of 6 months experience in a medical front office reception role.

Available Clinical Hours:
Monday to Friday with occasional Saturday shifts.
