Healthcare Operations Manager

The Healthcare Operations Manager at California Retina Consultants is responsible for overseeing the daily administrative functions of the clinic, ensuring the provision of exceptional patient care and the smooth operation of the practice. This role involves managing personnel, coordinating schedules, optimizing patient flow, enforcing policies and procedures, and ensuring adherence to regulatory standards. The Healthcare Operations Manager collaborates closely with physicians, staff, and patients to foster a positive and professional clinic atmosphere. This position is vital to the success of the retina practice by ensuring efficient operations, high-quality patient care, and compliance with healthcare regulations. Strong leadership, communication, and organizational skills are essential to effectively manage staff and resources while prioritizing patient satisfaction and clinical excellence.

Key Responsibilities:

1. Personnel Management:

  • Recruit, onboard, train, and supervise both clinical and administrative personnel.
  • Conduct regular performance assessments and provide constructive feedback and coaching to team members.
  • Develop and implement staff schedules to guarantee adequate coverage and efficient workflow.
  • Provide mentorship and support to promote professional development within the team.
  • Lead by example, demonstrating integrity, resilience, and a commitment to operational excellence.

2. Patient Services:

  • Oversee patient scheduling, registration, and intake processes.
  • Ensure that patients receive timely and appropriate care.
  • Address patient concerns and complaints in a professional and timely manner.
  • Monitor patient satisfaction and implement improvements as necessary.

3. Operational Oversight:

  • Manage clinic operations to enhance productivity.
  • Develop and enforce clinic policies and procedures to meet regulatory standards and operational excellence.
  • Oversee inventory management of medical and office supplies and equipment maintenance.
  • Ensure facility cleanliness and adherence to hygiene and safety protocols by staff.
  • Coordinate with vendors and suppliers for timely delivery of goods and services.
  • Serve as the primary user of electronic practice management and electronic health records systems.
  • Provide support as needed in technical or front-office roles.
  • Perform additional duties as assigned.

4. Financial Oversight:

  • Collaborate with the Chief Operations Officer to monitor clinic revenue and expenses and identify areas for improvement.
  • Oversee billing and coding processes to ensure accurate and timely submission of claims.
  • Work with billing staff and insurance companies to resolve billing issues and denials.
  • Develop and implement strategies to enhance revenue and control costs.

5. Quality Management:

  • Implement quality assurance programs to monitor and enhance patient care outcomes.
  • Conduct regular audits of clinical processes and documentation to ensure compliance with quality standards.
  • Collaborate with physicians and staff to identify areas for improvement and implement corrective actions.

6. Compliance and Regulatory Management:

  • Ensure compliance with state and federal regulations, including HIPAA, OSHA, and Medicare/Medicaid guidelines.
  • Stay informed about changes in healthcare regulations and implement necessary updates to policies and procedures.
  • Prepare for and participate in regulatory inspections and audits.

7. Team Collaboration and Communication:

  • Promote a cohesive team environment by encouraging collaboration and communication among clinic staff.
  • Act as a liaison between physicians, staff, patients, and other healthcare professionals.
  • Communicate effectively with stakeholders regarding clinic policies, procedures, and initiatives.

About the Candidate:

  • Bachelor's degree in healthcare administration, business administration, or a related field preferred.
  • Previous experience in healthcare management, preferably in a retina practice or ophthalmology setting.
  • Familiarity with electronic medical records systems and practice management software is a plus.
  • Strong leadership and interpersonal skills, with the ability to motivate and inspire staff.
  • Excellent organizational and problem-solving abilities.
  • Knowledge of healthcare regulations and compliance requirements.
  • Proficiency in medical billing, coding, and electronic medical records systems.
  • Ability to work effectively in a fast-paced and dynamic environment.
