Position Summary:
The Inpatient Administrative Manager is tasked with overseeing, coordinating, and directing the administrative and facility operations at Serenity House. This includes managing administrative support, hospice inpatient volunteers, reception staff, and housekeeping personnel. The role involves close collaboration with the Senior Director of Hospice and the interdisciplinary hospice team, upholding the core values and standards of VNA Health.
Key Responsibilities:
- Maintain high levels of customer service and professional communication with patients, staff, volunteers, and visitors.
- Ensure timely and courteous responses to inquiries from families and visitors.
- Conduct tours and provide orientation to new patients and families, showcasing our commitment to quality care.
- Work with the Volunteer Manager to effectively orient, schedule, and supervise inpatient volunteers.
- Oversee inventory management for office and medical supplies, ensuring cost-effective practices.
- Manage facility needs for medical and housekeeping supplies, coordinating purchases as necessary.
- Supervise housekeeping staff, ensuring daily tasks are completed efficiently.
- Delegate tasks to volunteers as appropriate and maintain updated documentation.
- Assist with patient activities and manage a Monthly Activities Calendar.
- Serve as the point of contact for IT needs, ensuring all technological requirements are met.
- Contribute to marketing efforts by sharing stories and enhancing the Serenity House brand.
- Ensure availability of informational materials for patients and families.
- Maintain bulletin boards and informational resources within the facility.
- Assist clinical staff with patient care tasks as needed.
- Communicate regularly with the Clinical Manager to ensure effective operations.
- Collaborate on budget management and identify opportunities for operational improvements.
- Maintain staffing ratios and manage scheduling for clinical staff.
- Monitor patient statistics and collaborate with management on care levels.
- Handle financial agreements and assist with billing processes.
- Participate in on-call duties as required.
Qualifications:
- High school diploma required; college degree preferred.
- 5+ years of experience in administrative management.
- At least 2 years of experience in a healthcare environment.
- Familiarity with regulations governing volunteer services is preferred.
- Strong communication and customer service skills.
- Proficient in Microsoft Office Suite and data entry.
- Empathetic understanding of the needs of terminally ill patients.
- Able to manage multiple priorities in a dynamic environment.
- Valid driver's license and auto insurance.
Physical Requirements:
- Ability to walk up one flight of stairs without assistance.
- Ability to lift up to 25 lbs.
- Ability to walk one mile throughout the day.
- Ability to sit for extended periods.
- Visual and auditory acuity.
