Position Summary

The Administrative Program Coordinator plays a crucial role in maintaining the operational efficiency of our office. This position provides essential support to the Executive Director in fundraising initiatives, special events, and development activities. A comprehensive understanding of organizational operations is essential, along with the ability to adapt to various work styles. This role requires a positive attitude, professionalism, and the capability to manage multiple tasks simultaneously.

Key Responsibilities

General Program Coordination:

  • Oversee local youth service programs, including volunteer recruitment and supervision.
  • Manage scheduling, coordination, and data tracking related to youth services.
  • Foster and maintain positive relationships with school staff and community partners.
  • Ensure timely communication of updates to Site Coordinators regarding program developments.
  • Complete necessary documentation, including monthly reports and service scheduling.
  • Assist in inventory management.
  • Conduct data collection as required by program partners.

Administrative Support:

  • Perform office tasks such as filing, report generation, and meeting preparation.
  • Handle incoming communications and manage office correspondence.
  • Organize and maintain both physical and digital filing systems.
  • Welcome clients and visitors, providing assistance as needed.
  • Update and maintain documentation and records.
  • Support the organization of common office areas.
  • Conduct general office duties and errands.
  • Manage supply inventory and reorder as necessary.
  • Ensure proper maintenance of office equipment.
  • Assist with client reception duties as required.
  • Maintain databases by entering and updating information.
  • Attend advisory council meetings and document minutes for the Executive Director.
  • Assist in procuring items for meetings and events.

Development and Fundraising:

  • Support tracking of donor acknowledgment letters.
  • Gather content for social media initiatives.
  • Organize affiliate success stories and impact reports.
  • Assist the Executive Director in preparing for meetings and site visits.
  • Represent the organization at community collaboration meetings.
  • Participate in outreach and marketing events.
  • Support the planning and execution of special events and fundraising activities.
  • Perform additional development-related tasks as assigned.

Qualifications

  • A Bachelor's degree is preferred, particularly in fields such as journalism, marketing, or related areas.
  • Prior experience in office administration or a related field is advantageous.
  • A strong interest in fundraising, marketing, and nonprofit development is highly desirable.
  • Excellent written and verbal communication skills are essential.
  • Proficiency in Microsoft Office 365 is required.
  • A personable demeanor with strong interpersonal skills is important.
  • Ability to work independently with minimal supervision.
  • Detail-oriented and well-organized.

Work Environment

  • The work environment is primarily indoors, with occasional exposure to outdoor conditions.
  • Travel may be required for school site visits and events.
  • Noise levels are typical of a business office and educational setting.
  • Use of personal transportation may be necessary.
