Position Overview:

Under general supervision, support the City Clerk in overseeing the daily functions of the City Clerk's Office. Responsibilities include attending and documenting City Council meetings, including confidential sessions, and assisting in the management of official City documents and municipal elections. Provide essential support to the City Clerk and City Council (Board of Supervisors).

Key Responsibilities:
  • Perform a range of administrative tasks to aid the City Clerk in maintaining accurate records for the City; assist in developing record-keeping systems.
  • Document minutes for official meetings, including City Council and Advisory Committees; prepare and finalize minutes, resolutions, agreements, proclamations, and ordinances.
  • Prepare and disseminate administrative reports, public notices, and other essential documents; manage the indexing and retrieval of official City records.
  • Coordinate the distribution of City Council meeting agendas and related materials; collaborate with IT staff to ensure online access to documents.
  • Respond to public inquiries regarding official actions of the governing body.
  • Draft correspondence and reports; ensure accuracy in all written materials.
  • Assist in the administration of municipal elections and ensure compliance with election legislation.
  • Maintain the Elko Municipal Code and assist in the processing of business licenses.
  • Perform duties related to cemetery management, including selling burial plots and issuing permits.
  • Support the City Clerk in maintaining the City of Elko website.
  • Assist in preparing documentation for public works projects.
Qualifications:

Knowledge, Skills, and Abilities:
  • Understanding of municipal government operations and relevant laws.
  • Proficiency in modern office practices and technology.
  • Ability to accurately transcribe minutes and manage records.
  • Strong communication skills, both written and verbal.
  • Capacity to interact effectively with the public and maintain professional relationships.
Experience:
  • Three to four years of clerical experience, particularly in record-keeping and meeting documentation.
  • Completion of high school education with additional coursework in business or secretarial studies.
Certifications:
  • Valid driver's license.
  • Notary Public certification is a plus.
Physical and Mental Requirements:
Ability to work in an office environment, manage multiple tasks, and maintain attention to detail. Regular interaction with the public and the ability to handle stress in a professional manner are essential.
