The Catering Event Specialist is essential in orchestrating successful catering functions, ranging from intimate private events to extensive corporate gatherings. This role demands a proactive individual with exceptional organizational capabilities, meticulous attention to detail, and outstanding interpersonal skills. The primary duty of the Catering Event Specialist is to manage all facets of catering events, from the initial client engagement to the follow-up after the event.

Key Responsibilities:
  • Client Interaction: Serve as the main contact for clients, promptly addressing inquiries and effectively conveying event specifics, options, and pricing. Maintain consistent communication with clients to ensure their preferences and requirements are fulfilled throughout the planning stages.
  • Event Planning and Coordination: Collaborate with clients to grasp their event needs, including menu choices, venue selections, dietary considerations, and special requests. Work alongside internal teams, such as chefs and service staff, to guarantee that all event elements are organized and executed per the client's specifications.
  • Menu Design: Partner with culinary teams to create tailored menus that reflect the tastes and dietary needs of clients. Offer suggestions and innovative ideas to enhance the overall dining experience and align with client expectations.
  • Logistics Oversight: Manage logistical components of catering events, including rentals, transportation, staffing schedules, and setup/breakdown procedures. Ensure that all necessary resources are coordinated and available for smooth and efficient event execution.
  • Budget Oversight: Assist clients in setting event budgets and provide clear pricing estimates based on menu selections, venue requirements, and additional services. Track expenses throughout the planning process to ensure events stay within budget.
  • Vendor Liaison: Coordinate with external vendors, such as florists and rental companies, to arrange supplementary event services as required. Negotiate contracts, review proposals, and manage logistics to ensure seamless integration of external services with catering operations.
  • On-Site Supervision: Oversee event setups, manage vendor arrivals, and supervise service operations during events to ensure quality standards are upheld and client expectations are surpassed. Address any issues or concerns that arise in real-time, providing proactive solutions to maintain a positive guest experience.
  • Post-Event Review: Conduct debriefings with clients after events to gather feedback and assess the success of catering services. Identify areas for improvement and implement necessary changes to enhance future event experiences.
Qualifications:
  • Bachelor's degree in Hospitality Management, Event Planning, or a related field is preferred.
  • Prior experience in catering, event planning, or hospitality management is essential.
  • Strong organizational skills with the ability to handle multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with a focus on customer satisfaction.
  • Proficiency in Microsoft Office Suite and event management software. Familiarity with Caterease is a significant advantage.
  • Flexible schedule, including availability to work evenings, weekends, and holidays as needed.
  • Creative problem-solving abilities and the capacity to thrive in a fast-paced, deadline-driven environment.
  • Bilingual, English and Spanish required.
