Position Overview

The Event Catering Coordinator at Relish Catering + Hospitality plays a pivotal role in overseeing the sales and event organization processes associated with the acquisition, planning, and execution of Off-Premise Catering Events. This position reports directly to the Sales Director and collaborates closely with the culinary and operations teams.

Key Responsibilities:

SALES AND EVENT MANAGEMENT

  • Manage incoming inquiries, develop tailored proposals, and design menus and events while overseeing financial aspects.
  • Collaborate with both new and existing clients to ensure the successful execution of their events.
  • Guide clients through the entire event planning process, coordinating with team members and external vendors to fulfill the client’s vision and contractual obligations.
  • Conduct site visits and venue assessments as needed.
  • Utilize existing client relationships to enhance sales opportunities and foster new business.
  • Identify and pursue new venue partnerships to expand catering options.
  • Engage in networking activities to promote Relish Catering + Hospitality.

OPERATIONS MANAGEMENT

  • Approach the role with an ownership mindset, continuously seeking improvements in financial performance and guest satisfaction.
  • Train onsite staff to adopt a similar ownership mentality.
  • Ensure food and beverage service is appealing and operates smoothly on a daily basis.
  • Design catering menus that effectively meet client requirements.
  • Create visually engaging menu and event designs that align with the overall event concept.
  • Prepare clear and accurate Event Orders (EOs) for staff reference.
  • Ensure timely updates and modifications to Banquet Event Orders (BEOs).
  • Coordinate with kitchen staff and event managers to guarantee thorough preparation and training for events.
  • Oversee rental orders and any additional vendor requirements for event execution.
  • Ensure timely collection of deposits and payments.
  • Focus on fostering team morale and pride.
  • Collaborate with the Operations VP to implement training systems and standard operating procedures.
  • Participate in weekly meetings to review BEOs, sales management, and company updates.

TRAINING AND DEVELOPMENT

  • Work with the Operations VP to establish standard operating procedures for daily services and kitchen maintenance.
  • Conduct regular meetings with onsite and kitchen teams to ensure clear communication and expectations.
  • Recruit and train new staff as necessary.
  • Mentor existing staff for continuous improvement.

TECHNOLOGICAL UTILIZATION

  • Employ client tracking and sales management software to streamline operations.
  • Utilize technology for lead generation and follow-up processes.

CULTURE AND VALUES

QUALIFICATIONS

  • A Bachelor’s degree is preferred.
  • At least three years of experience in event planning, catering, or hospitality.
  • Proficiency in catering software and databases.
  • Experience in a detailed food and beverage environment.

ESSENTIAL SKILLS

  • Strong knowledge of Microsoft Office Suite.
  • Excellent communication skills, both written and verbal.
  • Outgoing personality with the ability to engage with clients effectively.
  • Ability to work in a dynamic environment, including physical demands such as lifting and standing for extended periods.
