JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Department of Geosciences at Penn State is looking for a dedicated Education Program Coordinator to support various administrative and financial tasks while delivering exceptional customer service. This role is crucial for the International GeoBiology Course (IGC), the Consortium for Planetary and Exoplanetary Science and Technology (CPEST), and the lab of Dr. Kate Freeman.
Key Responsibilities:
- Coordination of IGC and Related Events: Manage the planning and execution of the IGC and associated events, including:
- Organizing field trips, inviting guest speakers, and coordinating course activities both on-campus and internationally.
- Arranging catering services, securing venues, and managing lodging logistics.
- Facilitating course registration and processing tuition payments.
- Ordering necessary supplies and compiling all course documentation.
- Reconciling expenses, processing honorarium payments, and preparing the final budget report.
- Overseeing communications: drafting marketing emails, maintaining listservs, and serving as the primary contact for course-related inquiries.
- Updating and maintaining the course webpage.
- Creating job postings for undergraduate student positions.
- Coordinating regular IGC Alumni Meetings at relevant conferences.
- Securing venues, coordinating guest speaker visits, and managing lodging logistics.
- Ordering supplies and creating event schedules.
- Reconciling expenses and preparing the final budget report.
- Overseeing communications: drafting marketing emails, maintaining listservs, and updating webpage content.
- Ordering supplies and reconciling travel expenses.
- Ensuring compliance with Penn State lab safety training requirements for new students.
- Coordinating with OPP and managing calendars.
- Assisting with award reporting.
Qualifications:
The ideal candidate will possess a High School Diploma/GED or equivalent vocational training, along with two years of relevant experience or a combination of education and experience. Strong written and oral communication skills, attention to detail, and the ability to maintain confidentiality are essential. Experience with financial and human resources information systems such as Workday, SIMBA, or SAP Concur is preferred.
Flexible Work Arrangement: This position offers a flexible work arrangement that includes both remote and on-campus work options.
