Administrative Coordinator

Position Summary:
The Administrative Coordinator plays a vital role in delivering extensive support to facilitate the seamless functioning of the office and its diverse divisions. This position encompasses a range of responsibilities, including managing communications, organizing files, and aiding in project management. The Administrative Coordinator serves as a crucial liaison for both internal and external parties, promoting efficient operations and enhancing the overall effectiveness and achievements of the organization.
Core Responsibilities:
- Office Administration:
- Execute general office tasks, such as responding to phone calls, overseeing emails, and welcoming guests.
- Draft and circulate correspondence, memos, reports, and various documents as necessary.
- Oversee the inventory of office supplies and procure materials as needed.
- Client Relations:
- Address inquiries while delivering precise information and support.
- Coordinate and confirm appointments and site visits.
- Foster positive relationships with clients and promptly resolve any issues.
- Team Assistance:
- Support the organization of training sessions, departmental meetings, and corporate events.
- Data Administration:
- Maintain and refresh databases and contact lists.
- Gather and interpret data for reports and presentations.
- Ensure all documentation is accurate and current.
Qualifications:
Education: High school diploma or equivalent; additional qualifications in office management or a related field are advantageous.
Experience: Prior experience in an administrative capacity, ideally within the environmental management or related sectors.
Skills:
- Bilingual proficiency in Spanish is required.
- Expertise in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking capabilities.
- Exceptional written and verbal communication skills.
- Ability to work autonomously as well as collaboratively.
- Meticulous attention to detail and effective problem-solving abilities.
Work Environment:
- Mainly office-based with occasional site visits. Site visits may involve various conditions.
- Full-time role with standard office hours; may necessitate occasional overtime based on project requirements.
