Key Responsibilities:

  • Communication Skills: Strong interpersonal, written, and verbal communication abilities are essential to effectively assist a diverse clientele.
  • Proficiency: Demonstrated expertise in various tasks including:
patient registration, appointment scheduling, managing arrivals, EMR phone notes, and document indexing within EMR, as well as maintaining professional telephone etiquette. Required qualifications include prior experience in a healthcare environment, customer service, or administrative roles. A Medical Office Specialist II designation requires a minimum of 2 years in a similar capacity, along with experience in report generation and additional office responsibilities.

Equipment and Tools:
Ability to operate standard office machinery and equipment such as photocopiers, PCs, fax machines, scanners, and other general office tools.

+ Make informed decisions using available resources to ensure positive outcomes for patients, visitors, and staff while balancing sound business practices.


  • Front Desk Management: Oversee front desk operations and serve as a resource for other Medical Office Specialists.

Handle appointment entries, emails, insurance processing, cash collection, and any additional required training. Schedule, reschedule, and cancel patient appointments and procedures within the department.

Execute down-time procedures and take necessary actions. Flexibility for overtime and staff sharing at other locations may be necessary.


  • Telephone Management:
Respond to and manage phone calls promptly and efficiently, utilizing appropriate telephone etiquette.

  • Appointment Scheduling:
Utilize general scheduling guidelines to appropriately book patient appointments, selecting the correct visit type and duration. May also involve scheduling meetings for physicians.

  • Patient Registration:
Greet patients promptly upon their arrival. Accurately collect and document time-of-service payments.

Qualifications:


A high school diploma or GED equivalent is required. Preferred qualifications include prior experience in an office or medical setting, along with experience in managing reports, surgical scheduling, authorizations, referrals, and maintaining supply inventory. A bachelor's degree is preferred.
Knowledge of computer systems at an expert level is essential, along with familiarity with medical terminology, insurance processes, and Electronic Medical Records (EMR).
