Position Summary
The Administrative Operations Manager plays a crucial role within the leadership team, overseeing all administrative activities, which encompass customer relations, monthly financial reporting, and human resources management. This position reports directly to the General Manager and contributes to fostering a positive workplace culture while assisting in the development and execution of strategic and operational objectives for the facility.
Key Responsibilities:
Financial Management
- Manage daily accounts payable and receivable processes along with plant-level credit operations.
- Generate and reconcile monthly financial statements, including petty cash management, accruals, and inventory logs.
- Ensure accurate inventory control through the receipt, payment, and invoicing of all purchased and sold goods.
- Establish and maintain effective accounting controls within the plant.
Leadership in Customer Service & Sales
- Recruit, interview, and train office personnel, including the customer service team.
- Deliver a premier customer service experience.
- Oversee the order entry process to guarantee timely and accurate processing of customer orders, facilitating communication between all personnel.
- Investigate and resolve customer service issues related to order accuracy, product quality, damages, and delivery.
- Coordinate the claims process involving customers, sales, purchasing, and vendors regarding warranties and product failures.
Human Resources Management
- Act as the HR representative for the plant, collaborating with corporate HR to ensure proper handling of employment and payroll activities.
- Address general HR inquiries related to benefits, leave, payroll, and wellness programs.
- Serve as the local expert on HR laws and regulations, partnering with corporate HR as needed.
- Facilitate the onboarding process for new hires, ensuring compliance and a welcoming experience.
- Administer annual benefits enrollment, wellness initiatives, performance evaluations, and other HR-related tasks.
Qualifications:
- A minimum of 3 years of experience in accounting or bookkeeping, preferably within a manufacturing context.
- At least 2 years of experience in sales or customer service roles.
- A minimum of 2 years in a management or supervisory capacity.
- Intermediate understanding of HR principles with at least 1 year of practical experience.
- Demonstrated skills in effective communication, planning, organization, sound judgment, follow-up, and leadership.
- Proficient in computer applications, including Microsoft Office, with the ability to learn new software.
- A bachelor's degree in business or accounting, or equivalent experience; a high school diploma or GED is required.
