We are currently seeking an experienced Access Coordination Specialist for our team.

The Access Coordination Specialist at Concerted Care Group is responsible for overseeing the flow of patients and visitors, ensuring a welcoming environment.

This role includes implementing administrative systems, adhering to procedures and policies, monitoring administrative projects, and collaborating with care providers to meet program and budgetary objectives.


Responsibilities:
• Manage scheduled appointments by checking in patients and notifying staff of patient arrivals.

• Direct walk-in patients to the appropriate personnel.

• Collect pertinent patient information while maintaining HIPAA compliance.

• Ensure workflow efficiency by analyzing methods, implementing cost reductions, and managing reporting procedures.


• Handle all incoming telephone calls, representing the agency as the first point of contact with professionalism and courtesy.

• Route calls, messages, and deliveries to the appropriate staff promptly.

• Adhere to systems and procedures by following operating practices, record-keeping systems, forms control, and budgetary requirements.

• Manage co-pay and self-pay amounts for patient visits, documenting received amounts and informing patients of outstanding balances.

• Receive clinical alerts and ensure compliance with patient restrictions, including toxicology screenings and appointments with clinical staff.

• Continuously evaluate the functionality of equipment, alerting appropriate staff to repair and maintenance needs.

• Assist in managing patient documentation, ensuring the availability of charts between care providers during intake and that UA and BAC records are accessible.

• Uphold production, productivity, quality, and customer service standards; resolve operational issues; identify opportunities for process improvements.

• Meet cost standards by implementing cost-saving measures. Assess the condition and availability of office and medical supplies, communicating needs to the relevant staff.

• Oversee the waiting area environment by monitoring the safety and well-being of patients and visitors, alerting security and clinical staff to any situations requiring intervention.

• Maintain cleanliness and order in the front desk and waiting room areas.

• Other duties as assigned.

Qualifications:
• A minimum of three years' experience in a medical office, hospital, or similar patient service environment; five years preferred.

• Requires a solid understanding of medical insurance plans, billing, and regulations.

• Proficient in Microsoft Office products with the ability to learn firm-specific programs and software.

• Excellent verbal and written communication skills, along with professional telephone etiquette, interviewing, and interpersonal skills to interact effectively with patients, families, healthcare team members, and external agencies.

• Ability to manage multiple tasks and adapt to changing priorities.

• Demonstrate integrity, professionalism, and confidentiality.

• A high degree of personal motivation and drive to achieve both personal and professional goals.
