Position Overview:

We are in search of an experienced Executive Assistant to provide comprehensive support to the President of Mills James. The successful candidate will be a meticulously organized, detail-focused individual with substantial experience working alongside C-suite executives. This role demands exceptional discretion and the capacity to uphold strict confidentiality regarding all business affairs. The Executive Assistant will be tasked with managing the President's calendar, drafting and organizing written communications, coordinating meetings, and ensuring seamless daily operations to optimize the President's time. This is a full-time position, Monday through Friday, based in the office.

Key Responsibilities:

- Calendar Management: Effectively oversee the President's schedule, including arranging and coordinating meetings, appointments, and travel logistics.

- Meeting Coordination: Prepare agendas, gather necessary digital materials, and ensure timely communication and follow-up for all meetings. Attend meetings as necessary to take minutes and provide summaries.

- Organizational Support: Maintain a structured system for tracking tasks, projects, emails, and other communications. Assist in prioritizing and managing daily activities.

- Confidentiality: Manage sensitive information with the utmost level of discretion and confidentiality. Ensure all business matters are handled securely.

- Communication: Act as the primary liaison for the internal administrative team, providing updates on matters related to the President. Draft and manage email correspondence, reports, and presentations.

- Administrative Duties: Execute general administrative tasks, including filing and data entry, and support other executive team members as required.

- Problem Solving: Anticipate the needs of the President and proactively address potential challenges. Provide solutions to enhance efficiency and effectiveness.

Qualifications:

- Experience: A minimum of 3-5 years of experience as an Executive Assistant, preferably supporting C-suite level executives.

- Education: A bachelor's degree in business administration, management, or a related field is preferred.

- Exceptional organizational and time-management skills.

- Strong written and verbal communication skills.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

- High level of discretion and confidentiality.

- Ability to work independently and collaboratively within a team.

- Excellent problem-solving and decision-making skills.
