Job Summary

We are seeking a highly skilled and experienced Senior Sponsored Programs Specialist to join our team at the University of Miami. As a key member of our post-award team, you will be responsible for coordinating administrative and financial functions for assigned departments, ensuring compliance with applicable guidelines, rules, and regulations.

Key Responsibilities
  • Provide technical assistance and guidance to faculty and administrators in the development and preparation of funding proposals.
  • Respond to general inquiries regarding sponsored program policies and procedures.
  • Review grant applications to ensure accuracy and completeness.
  • Access applicable database(s) to verify regulatory compliance approvals before establishing project accounts.
  • Maintain internal proposal documents and electronic records for assigned portfolio.
  • Process and disseminate various non-financial post-award actions, such as award notifications, amendments, and related documents.
  • Assist in the coordination of project closeout.
  • Coordinate with faculty on possible need for budget revisions to be consistent with award amount as received.
  • Review award terms and conditions and discuss flagged items with faculty.
  • Oversee all audits and bank reconciliations of petty cash accounts.
  • Monitor sponsored programs subcontracting activity.
  • Submit to accounts payable all received and endorsed invoices and track timely payments by that unit.
Departmental Specific Functions

The Senior Sponsored Programs Specialist will be responsible for the expense management of research grants and contracts for the Sylvester Comprehensive Cancer Center (SCCC) awards portfolio.

This position serves as a resource to SCCC members in the financial administration of sponsored research awards. Essential duties include expense and account monitoring, financial reporting, financial closeout, and other post-award financial analysis and support for sponsored awards.

Monitor, review, and reconcile award budgets, balances, and expenses. Expenses must be allowable, allocable, and reasonable in accordance with grant terms and conditions, the budget limits, and period of performance.

Conduct periodic reviews for assigned sponsored awards (portfolio reviews), including monitoring spending trends, transaction review/approval, resolving small balances on awards, tracking cost-sharing commitments, and monitoring subrecipient expenditures.

Review, approve, and perform salary redistributions and journal entries as needed to ensure proper expenditure accounting.

Identify, investigate, and resolve discrepancies or errors found within research accounts. Resolution will require coordination with the applicable faculty members, ORA staff members, and other departments.

Recognize gaps and suggest ways to improve effective business practices, standing operating procedures as it relates to award financial monitoring.

Submits to accounts payable all received and endorsed invoices and tracks timely payments by that unit.

Adheres to University and unit-level policies and procedures and safeguards University assets.

Serve as subject expert on the financial monitoring of awards and provide training to research personnel.

Prior experience analyzing data and formulating conclusions.

Ensure provision of excellent customer service to SCCC members and peers.

Participate in trainings and professional development opportunities, as determined by the Post-Award Manager.
