Role Overview:
The Records Specialist is responsible for entering new and updated information into customer inventories utilizing the Safekeeper system.

  • Oversee the data input process, ensuring accurate entry of label and location information, resolving discrepancies, confirming orders with clients, and completing work orders in a timely manner.
  • Supervise the internal relocation data input process, which includes entering all relevant information, electronically transferring cartons to new locations, addressing exceptions, and finalizing work orders.
  • Manage the data input for destruction processes, including selecting candidates for destruction, verifying keyed information, resolving discrepancies, and issuing destruction certificates to clients.
  • Handle the electronic permanent removal process, ensuring accurate entry of all Permanent Removal Orders (PMOs), verifying details, addressing exceptions, and completing work orders.
  • Update customer contract details, conducting research to resolve issues and discrepancies through communication with clients and internal teams.
  • Generate and distribute receipt acknowledgments, as well as monthly and quarterly reports as requested by clients.
  • Provide assistance to customer service as required.
  • Engage in additional customer-related tasks and special projects as needed.
Additional Responsibilities:

Conduct scanning, auditing, quality control functions, product packaging, data entry, and CD burning. Serve as a resource for inquiries and assist in training new specialists.

Key Responsibilities:
  • Scan physical documents into electronic formats, ensuring high-quality images. Create project CDs as necessary.
  • Perform basic quality control auditing tasks.
  • Prepare products for delivery, ensuring all documentation is complete.
  • Organize hard copy records for scanning.
