The Law Offices of Kanner & Pintaluga P A is actively seeking a dedicated and enthusiastic Human Resources Assistant to contribute to our expanding team.

POSITION SUMMARY:

The HR Assistant will play a crucial role in enhancing departmental productivity by providing support to the HR team with various administrative responsibilities and specific projects as assigned. This position also involves assisting attorneys and staff with inquiries related to administrative functions.

KEY RESPONSIBILITIES:

  • Publishing job postings on employment platforms and other relevant channels.
  • Evaluating and filtering incoming applications.
  • Engaging with prospective candidates to discuss job roles and responsibilities, which may include email correspondence, phone screenings, and coordinating in-person interviews.
  • Organizing and scheduling interviews among candidates, HR personnel, and hiring managers.
    • May also involve arranging travel and accommodation for candidates when necessary.
  • Conducting background verifications or contacting references as required.
  • Maintaining applicant databases and generating reports on the status of job openings and candidate pools.
    • Responsible for tracking all applications, interview feedback, and other relevant recruitment data.
  • Assisting with the onboarding process, which includes:
    • Drafting offer letters,
    • Coordinating with new hires regarding their start date,
    • Ensuring completion of all necessary documentation,
    • Addressing queries related to company policies and procedures,
    • Conducting orientation for new employees.
  • Updating employee records as necessary.
  • Distributing new hire packets to incoming employees.
  • Scanning and entering new hire questionnaires into the system.
  • Creating access fobs for new staff members.
    • Responsible for the deactivation and replacement of access fobs.
  • Sending notifications regarding employee departures to administrative teams.
  • Performing additional related duties as assigned.

QUALIFICATIONS:

  • Full-time availability, Monday through Friday, from 8:00 AM to 5:00 PM.
  • Associate's Degree or a minimum of one year of experience in Human Resources or a related field.
  • Familiarity with HRIS software is advantageous.
  • Proficient in computer usage and data entry tasks.
  • Strong command of Microsoft Office Suite.
  • Ability to handle a demanding workload in a fast-paced setting.
  • Effective communication skills with colleagues.
