Position Overview

Inversiones J.A.M. 320 Corp. is on the lookout for a detail-oriented and proactive Human Resources Administrative Coordinator to enhance our administrative and operational team. The ideal candidate will manage work hours and timesheets, oversee invoicing, liaise with contractors, assist in training initiatives, support employee relations regarding benefits and policies, and work closely with Management. This role is crucial in ensuring efficient operations throughout the organization. Additionally, the candidate will engage in or lead significant HR projects in areas such as recruitment and retention, employee relations, workforce planning, and compliance with policies and legal standards.

The individual will aid in developing and executing processes necessary for attracting and placing employees; collaborate with other team members to understand staffing requirements; assist in the recruitment process; coordinate job postings; and provide guidance to supervisors and employees on work-related issues, operational strategies, and human resource procedures, suggesting corrective actions to address problem areas. Furthermore, the candidate will be proficient in utilizing HR Payroll forms and tax documentation and will perform various duties as assigned by the supervisor.

Key Responsibilities

  • Provide administrative support for overall office functions and staff.
  • Collaborate across all departments, gather information, and deliver progress updates to Management.
  • Welcome and assist all visitors or scheduled appointments.
  • Manage all calls and email communications for staff and clients with urgency.
  • Oversee timesheet application/system spreadsheets on a weekly basis.
  • Act as a liaison with payroll services to facilitate weekly payroll processing.
  • Support performance management initiatives for employee engagement and training development.
  • Ensure compliance with federal, state, and local employment laws and regulations.

Additional Duties

  • Collect, review, and update all insurance documentation from employees and subcontractors.
  • Manage all permit requirements for new projects as necessary.
  • Serve as the primary contact between the office, suppliers, and vendors.
  • Document and record all necessary paperwork with Management.
  • Monitor the progress of permit applications, payments, and feedback.
  • Keep all stakeholders informed about administrative projects and tasks.
  • Assist sales representatives with any administrative responsibilities.

Qualifications & Experience

  • Minimum of 3 years of post-qualification experience in an HR or related role (e.g., administrative, payroll).
  • Demonstrated ability to identify and prioritize relevant tasks effectively.

Education & Training

Bachelor's degree in Human Resources, Business Administration, Management, or a related field.

Other Requirements

  • Advanced proficiency in Excel, particularly in data manipulation and reporting.
  • Able to work independently and take initiative.
  • Strong organizational skills and ability to establish priorities.
  • High attention to detail and focus on accuracy in work.
  • Ability to interact proactively with Management and staff at all levels of the organization.
  • Strong interpersonal skills and ability to influence effectively.
