COMPENSATION: $23.07 DOE

Position Summary

The Fiscal & Administrative Support Specialist is responsible for providing comprehensive administrative assistance to the leadership team of the Youth Empowerment & Violence Prevention department. This role includes data entry support, contract management, monitoring program expenditures, and preparing client assistance logs. As part of a dynamic team, this position ensures the smooth operation of programs and facilitates a positive experience for participants. The role demands flexibility, meticulous attention to detail, and a collaborative spirit to positively impact families and communities.

Primary Responsibilities
  • Assist YEVP program teams with their activities, services, and events.
  • Coordinate and manage logistics for meetings.
  • Respond promptly to incoming calls and referrals.
  • Provide administrative support to the department's leadership team.
  • Develop and maintain client assistance tracking systems.
  • Participate in departmental and agency staff meetings and training sessions.
  • Perform data entry into relevant case management software.
  • Ensure timely submission of mileage, program expense reimbursements, and timesheets.
  • Support special projects within the department.
  • Assist in managing grants and contracts.
  • Maintain program expense tracking systems.
  • Review invoices for accuracy.
  • Meet data deadlines for timely report completion.
  • Maintain regular and predictable attendance.
  • Collaborate effectively within a team environment.
  • Comply with HIPAA and confidentiality laws.
  • Perform other duties as assigned by the supervisor.
Skills, Knowledge, and Experience
  • Bicultural proficiency with an understanding of Latinx cultural perspectives.
  • Bilingual in Spanish with strong oral and written communication skills.
  • Experience working with families in the Latino community.

Additional Requirements
  • Successful completion of initial and ongoing employment screenings.
  • Availability for evening and weekend work as needed.
Physical Demands

This position requires the ability to lift and move items up to 25 pounds regularly, with occasional lifting of up to 50 pounds. The role involves frequent use of hands for various tasks, as well as standing, walking, and sitting.

Work Environment

Employees may encounter varying conditions, including wet or humid environments and outdoor weather. This role requires frequent computer use and specific vision abilities.
