Job Overview:

The primary function of this role is to manage, process, and distribute all requests for documentation and permits while providing assistance to the public. The position operates under the supervision of the Police Lieutenant.

Key Responsibilities:

The following duties are typical for this position. These are not exhaustive and additional responsibilities may be assigned.

• Manage and fulfill requests for records and reports.

• Input court dispositions into the database and attach court abstracts to reports; remove information related to dismissals and erasures from files.

• Prepare and send alarm bills and other notifications.

• Process applications for permits and distribute them accordingly.

• Conduct and document criminal record checks.

• Assist clients at the service counter.

• Sort and deliver departmental and personal correspondence.

• Provide support to other clerical staff as needed; perform data entry and manage court documents and warrants as required. Handle confidential information and redact sensitive data from requested documents.

• Execute other related tasks as assigned or necessary.

Qualifications:

A high school diploma or equivalent is required, along with six months of relevant experience or a combination of education and experience that provides equivalent knowledge, skills, and abilities. The position necessitates the ability to obtain NCIC Computer certification.

Skills and Abilities:

Communication and Interpersonal Skills:

• Ability to perform basic data analysis, including reviewing, classifying, categorizing, prioritizing, and referencing data, statutes, and guidelines. Requires discretion in determining and referencing established standards to recognize relationships.

• Ability to provide guidance and interpretation to others, including co-workers and the public, on applying policies and procedures to specific situations.

• Proficient in utilizing a variety of reference materials such as requests for reports, permit applications, billing statements, and operational manuals.

• Capable of communicating effectively both orally and in writing with the Police Lieutenant and all department personnel, as well as the public.

Mathematical Skills:

• Ability to perform basic arithmetic operations, including addition, subtraction, multiplication, and division, as well as calculating percentages and decimals.

Physical Requirements:

• Ability to operate and perform adjustments on office equipment and tools, including computers and related materials necessary for essential functions.

• Capability to coordinate movements for tasks such as rapid keyboard use.

• Involves light physical effort in sedentary to light work, with some lifting, carrying, pushing, and pulling of objects weighing five to ten pounds.

• Ability to recognize and identify similarities or differences in characteristics related to job-related objects and tasks.

Work Environment:

• Ability to work in safe and comfortable conditions with minimal exposure to environmental factors, posing a limited risk of injury.
