Summary: This role involves managing a wide range of administrative tasks that require independent decision-making and a thorough understanding of relevant protocols.
Key Responsibilities:
- Execute various administrative tasks following established guidelines.
- Proficiently utilize MS Office applications and other publishing tools to create documents that may include financial, statistical, or technical information.
- Manage customer accounts by assessing service requirements in accordance with existing agreements.
- Foster and maintain customer relationships through prompt and courteous service.
- Regularly communicate with assigned accounts and address any service-related inquiries.
- Prepare and send correspondence in response to customer inquiries while maintaining confidentiality.
- Quickly respond to quotation requests and collaborate with pricing teams to ensure competitive offers.
- Work with different departments (e.g., quality assurance, logistics, finance) to resolve customer issues efficiently.
- Prioritize tasks and establish reasonable timelines for production and service delivery.
- Process repair approvals and update relevant documentation accordingly.
- Develop strategies to manage overdue items and oversee order entry and shipping processes.
- Input and manage data using spreadsheet and database software, ensuring high accuracy.
- Set priorities for task completion and may delegate responsibilities as needed.
- Gather data, perform research, and compile information for various reports and projects.
- Investigate specific issues, such as delays, to ensure goals are met.
- Communicate potential challenges to management constructively.
- Manage correspondence, highlighting key actions and attaching necessary documentation.
- Collaborate effectively with team members and departments, screen calls, and assist visitors.
Job Requirements:
- A minimum of three years of progressively responsible administrative experience.
- Bachelor's degree is required.
- Familiarity with R-Card is preferred.
- Client knowledge is advantageous.
- Comprehensive understanding of office equipment and administrative processes.
- Ability to accurately document meeting discussions when necessary.
- Proficient in Microsoft Office Suite, with intermediate to advanced Excel skills.
- Strong verbal, written, and interpersonal communication abilities.
- Capacity to work collaboratively and contribute as a team player.
