Job Summary

We are seeking a highly motivated and organized Administrative Assistant to provide support to the operations of our center. The successful candidate will be responsible for assisting with clerical duties, coordinating meetings, and providing excellent customer service.

Key Responsibilities
  • Provide administrative support to the operations of the center, including assisting with clerical duties as assigned by the supervisor and/or in support of other day center disciplines as needed.
  • Coordinate meetings and support scheduling needs, ensuring seamless communication and organization.
  • Attend meetings, take minutes, and document action items as needed, maintaining accurate records and reports.
  • Provide exceptional customer service and service recovery for participants and other partners, ensuring a positive experience.
  • Manage the front door, ensuring visitors and participants are greeted, sign in and out, receive their badges and appropriate entrance screenings, and do not elope.
  • Understand key technologies and software sufficiently to provide support to participants and team members, including Athena EMR, Microsoft Office, and other systems as needed.
  • Monitor and track current office supplies inventory, ordering supplies as needed to maintain a well-stocked and efficient environment.
  • Oversee all mail services, including distribution of incoming mail and packages, and preparation of outbound mail.
  • Participate in emergency planning and maintain emergency preparedness binders and logs, as identified in the emergency preparedness policies and procedures, at the reception area.
  • Ensure cleanliness and timely management of quality logs of relevant assigned areas, including storage areas, conference rooms, center equipment, and staff lounge.
Requirements
  • High School Diploma or Equivalency.
  • Associate's degree.
  • Minimum of two years' experience as an administrative assistant.
  • Demonstrated technological skills with Microsoft Office – Outlook, Word, Excel, PPT.
  • Highly motivated, self-directed, able to execute tasks in a quickly changing environment, and make sound decisions in emergencies.
  • Excellent organizational and communication skills.
  • Ability to work independently with minimal supervision.
