Position Overview

We are seeking a seasoned administrative professional to undertake advanced, varied, and confidential administrative responsibilities for project teams. This role involves planning, managing, and executing administrative functions across key result areas such as document management, communication oversight, file organization, and client support. The successful candidate will implement established administrative protocols for projects and may facilitate coordination among various departments and clients.

Key Responsibilities

  • Support safety and environmental teams to ensure adherence to relevant laws and regulations.
  • Engage directly with vendors for transportation and logistics, including resource scheduling.
  • Optimize revenue by balancing product output with available off-takers.
  • Assist in drafting contracts related to sales and purchases, ensuring favorable terms.
  • Maintain organized records and assess contracts for potential risks.
  • Provide documentation and support for quality assurance audits and client reviews.
  • Ensure effective communication with project team members and clients to meet quality, schedule, and budget objectives.
  • Develop and implement efficient systems for document processing and record keeping.
  • Monitor compliance with procedures and ensure effective implementation.
  • Compile, analyze, and prepare reports, establishing metrics for administrative activities.
  • Conduct independent research on complex information requests while maintaining confidentiality.
  • Utilize advanced skills in MS Office 365 Suite to create complex documents.
  • Prepare correspondence, reports, and meeting minutes as required.
  • Occasional travel to vendor locations may be necessary.
  • Perform additional related duties as assigned.

Qualifications

  • A high school diploma or equivalent, with a minimum of seven years of administrative or project coordination experience.

Preferred Skills

  • In-depth knowledge of corporate structures, policies, and procedures.
  • Proficiency in business correspondence, spelling, grammar, and basic accounting.
  • Exceptional organizational and time management abilities.
  • Advanced understanding of contract administration.
  • Expertise in Microsoft Office Suite and database management.
