The University Events Project Coordinator plays a vital role within the Special Events department, assisting in the seamless execution of various university-related activities and initiatives. Key Responsibilities
- Act as the primary liaison for the Executive Director, engaging with stakeholders across all levels of the organization, including alumni, donors, and business partners, while maintaining a professional demeanor.
- Deliver advanced administrative assistance by managing the Executive Director's schedule, coordinating meetings, and preparing essential documents such as agendas, presentations, and reports.
- Support the Executive Director's team by:
- Organizing project timelines and ensuring effective communication regarding project status and deadlines.
- Conducting research and gathering data to facilitate informed decision-making.
- Assisting in the analysis of fundraising efforts and compiling relevant data.
- Oversee financial transactions, including verifying expenses and ensuring timely processing of payments.
- Perform additional duties as assigned to support the overall objectives of the department.
Qualifications
- A Bachelor's Degree or equivalent experience in a related field.
- A minimum of five years of experience in providing high-level administrative support or management functions.
- Extensive knowledge of office management principles and administrative procedures.
- Exceptional attention to detail and a commitment to producing high-quality work.
- Strong verbal and written communication skills, with the ability to prepare clear and professional correspondence.
- Excellent interpersonal skills, demonstrating the ability to interact effectively with diverse individuals.
- Proficiency in Microsoft Office Suite and experience with project coordination.
- Familiarity with social media, graphic design, and event photography is advantageous.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A proactive approach to problem-solving and time management.
- Experience working in diverse environments and a commitment to promoting equity and inclusion.
Work is primarily conducted in an office setting during standard business hours, with occasional requirements for evening or weekend work to fulfill job responsibilities. Some travel may be necessary.
Compensation
