Job Overview

POSITION SUMMARY: This role involves assisting with the daily operations of a healthcare facility, which includes managing records, handling phone inquiries, scheduling appointments, and verifying patient eligibility through various tasks.

KEY RESPONSIBILITIES:

  • Take accurate messages and relay information effectively.
  • Gather and update patient information for both new and returning patients.
  • Coordinate appointment scheduling and modifications as required.
  • Input data into the Electronic Health Record (EHR) system.
  • Organize and label medical documents appropriately.
  • Scan documents in accordance with established protocols.
  • Maintain accurate patient records in the practice management system.
  • Assist patients in completing necessary forms when needed.
  • Identify insurance providers, confirm eligibility, and assess financial status.
  • Record patient arrivals in the EHR system.
  • Conduct pre-screening of medical records accurately.
  • Prepare schedules for upcoming appointments.
  • Verify insurance eligibility and secure authorizations for services.
  • Review the practice management system for updated patient demographics and consent forms.
  • Attach updated demographics and consent forms to patient schedules.
  • Identify patients using their date of birth and name in relevant systems.
  • Send follow-up letters for missed appointments and document appropriately.
  • Import registration documents into the patient's electronic health record accurately.
  • Facilitate the pre-screening process for additional appointments.
  • Answer phone calls promptly and courteously, ideally within three rings.
  • Engage with customers in a professional and respectful manner.
  • Recognize and respond to potentially violent or emergency situations appropriately.
  • Ensure patient confidentiality is maintained according to policies and regulations.
  • Operate transportation vehicles for patient appointments as needed.
  • Communicate any transportation issues to the supervisor.
  • Keep records of passenger and vehicle usage.
  • Maintain cleanliness of the vehicle interior and report maintenance issues.
  • Submit incident reports to the supervisor within the required timeframe.
  • Stay informed about all transportation policies and procedures.
  • Obtain prior authorization from the supervisor for transporting passengers.

QUALIFICATIONS:

  • Education: High School Diploma or equivalent.
  • Experience: Previous experience in a medical office is preferred.
  • Communication Skills:
    • Ability to interact effectively with healthcare professionals, patients, and colleagues.
    • Proficient in reading, writing, and typing clear messages both electronically and verbally.
  • Technical Skills:
    • Knowledge of safe and efficient use of office equipment and software.

ADDITIONAL QUALIFICATIONS:

  • Must possess a valid driver's license and maintain an insurable driving record.
  • Must have a clean driving and criminal history for at least three years.
  • Pass a background check and meet all requirements.
  • Pass a Driver Abstract Report.
  • Good understanding of vehicle operation and Washington State Motor Vehicle Laws.
  • Experience working with diverse communities, including Native American populations.
  • Familiarity with RPMS, Electronic Health Records, or similar data management systems.

PHYSICAL DEMANDS:

  • Work is performed in a generally comfortable environment.
  • May require prolonged periods of standing or sitting.
  • Ability to lift at least 25 lbs.
  • Involves bending, squatting, and reaching.
  • Must remain alert and focused while operating a vehicle.

WORK ENVIRONMENT:

  • Job duties are typically routine, but may vary; policies and procedures guide non-routine situations.
  • Routine interaction with others is expected, providing assistance and limited direction.
  • May need to perform duties of absent employees, including supervisors.
  • May be required to take on additional responsibilities not listed in this description, either temporarily or permanently.
