Job Overview

Type: Temporary position, covering maternity leave, for a duration of 3 months.

Schedule: Monday to Friday, from 7:30 AM to 4:00 PM.

This position will function as a Patient Service Coordinator III in addition to performing Medical Assistant duties, primarily focusing on patient interactions. The role will also provide backup support for Medical Assistants during absences due to illness or vacation. The responsibilities are mainly administrative, involving patient rooming, chart preparation, and ensuring examination rooms are well-stocked.

Qualifications:

  • Minimum of 2 years of experience in a medical group practice, with a background in both Medical Assistance and Administrative functions.
  • Comprehensive understanding of Epic system modules and features, including electronic medical records and transitions to Book It.
  • Proven ability to work autonomously with minimal supervision, effectively resolve issues, and maintain organization and attention to detail while achieving team goals.
  • Experience interfacing with various levels of practice, particularly regarding managed care knowledge and issues.
  • Strong interpersonal and communication skills.
  • Ability to interact effectively with all management levels.
  • Knowledge of HIPAA confidentiality and privacy regulations.

Key Responsibilities:

  • Coordinate patient office appointments utilizing the Epic system, including scheduling across multiple facilities and aligning with consulting or primary care physicians as necessary.
  • Register new patients via phone or in-person, ensuring all required information is collected courteously; create medical records for new patients and follow up to confirm registration in the Hospital Patient Care Information System.
  • Retrieve medical records before patient appointments, ensuring all necessary laboratory and radiological test results are available and properly filed prior to visits.
  • Provide patient information and materials before appointments.
  • Address patient and family inquiries regarding appointments, surgical procedures, and pre-operative instructions.
  • Arrange interpreter services as required prior to patient visits.
  • Make reminder calls to patients 1-2 days before scheduled appointments and surgical procedures.
  • Ensure all demographic information in patient medical records is accurate and up-to-date.
  • Verify that referral forms are obtained prior to patient visits.
  • Schedule follow-up appointments and necessary laboratory or radiology tests promptly and courteously, preparing all required paperwork.
  • Coordinate surgeries, pre-admission testing, and admissions, ensuring all associated documentation is completed accurately and timely.
  • Utilize the Scheduling Computer System effectively and troubleshoot issues as needed.
  • Ensure patients and families complete Consent for Surgery forms.
  • Provide patients and families with copies of surgical instructions relevant to their type of admission.
  • Communicate the time of surgery and review pre-surgical instructions with patients and families in a timely manner.
  • Respond to requests from billing services or third-party carriers for information and corrections.
  • Re-schedule any canceled appointments or surgeries promptly.
  • Address requests from physicians' offices, families, or government agencies for letters of medical necessity and copies of medical records as needed.
  • Maintain a weekly updated spreadsheet/database of surgical procedures performed as per physician requirements.
  • Send follow-up visit reminder letters to patients in a timely manner.
  • Retrieve and return hospital medical records for physicians for various purposes as required.
  • Communicate with the Emergency Department and surgical residents as necessary regarding patient arrivals.
  • Manage the scheduling of multiple appointments using various systems and resources.
  • Investigate and resolve issues related to referrals and billing processes that may affect patient care delivery or reimbursement.
  • Possess thorough knowledge of HMO, managed care, and other third-party insurers, as well as available patient financial services.
  • Coordinate complex workflows and multiple schedules for surgeons to ensure efficient daily operations.
  • Schedule meetings, conference calls, and appointments for surgeons as requested.
  • Provide coverage for Medical Assistants as needed.
