Position: Administrative Assistant

Key Responsibilities:

Customer Engagement:

  1. Exhibit the brand promise to all clients.
  2. Ensure all customer contact information and data files are up-to-date.
  3. Address all customer phone inquiries and complaints by adhering to the established process within 24 hours.
  4. Conduct follow-ups with customers within a 48-hour timeframe.
  5. Maintain a log of all complaints, detailing the nature of the complaint, responses provided, and time taken.
  6. Send all necessary follow-up communications to customers.
  7. Stay vigilant for opportunities to recognize customer feedback, both verbally and in writing.
  8. Conduct site inspections and quality assurance checks.

Additional Duties:

  1. Keep an accurate schedule for all teams and promptly update any changes.
  2. Manage the company's customer communications, ensuring all outgoing emails are sent as required and incoming messages are directed to the appropriate departments.
  3. Maintain and update hourly work records for all staff, ensuring timely submission for payroll processing.
  4. Input daily production metrics into the job data management system.
  5. Assist and liaise with field personnel as necessary.
