Position: Administrative Assistant
Key Responsibilities:
Customer Engagement:
- Exhibit the brand promise to all clients.
- Ensure all customer contact information and data files are up-to-date.
- Address all customer phone inquiries and complaints by adhering to the established process within 24 hours.
- Conduct follow-ups with customers within a 48-hour timeframe.
- Maintain a log of all complaints, detailing the nature of the complaint, responses provided, and time taken.
- Send all necessary follow-up communications to customers.
- Stay vigilant for opportunities to recognize customer feedback, both verbally and in writing.
- Conduct site inspections and quality assurance checks.
Additional Duties:
- Keep an accurate schedule for all teams and promptly update any changes.
- Manage the company's customer communications, ensuring all outgoing emails are sent as required and incoming messages are directed to the appropriate departments.
- Maintain and update hourly work records for all staff, ensuring timely submission for payroll processing.
- Input daily production metrics into the job data management system.
- Assist and liaise with field personnel as necessary.
