Job Overview

Position Summary:

The Woods Hole Group Inc. is at the forefront of satellite communication services, utilizing advanced Argos and Iridium satellite systems for diverse applications, including oceanography, wildlife tracking, and agricultural monitoring. We are currently in search of a meticulous and organized Accounts Receivable Specialist to enhance our operations. This role is pivotal in managing all billing and collection processes within our business unit. The ideal candidate will possess a solid foundation in business management, outstanding communication abilities, and a strong attention to detail.

Key Responsibilities:

  • Work collaboratively with various departments such as Sales, Customer Service, Logistics, and Finance to address billing and collection challenges.
  • Establish, update, and manage client data within the ERP system, including:
    1. Onboarding new clients
    2. Overseeing contract management
    3. Issuing monthly invoices for services and equipment
    4. Maintaining accurate accounts receivable records
    5. Addressing customer inquiries regarding billing and resolving discrepancies professionally.
  • Handle collections for two distinct business units: Satellite Telemetry and Sustainable Fisheries Management:
    1. Oversee the collection process, including sending reminders and statements to clients with overdue balances.
    2. Engage with clients through various communication methods to facilitate payment.
  • Keep comprehensive records of all billing and collection activities.
  • Provide administrative assistance to the Business Unit and its departments, which includes scheduling, coordinating meetings, data entry, and other general administrative duties.

Supervisory Responsibilities:

  • This position does not include supervisory responsibilities.

  • High School Diploma is required.
  • A degree in Business Administration or a related field is preferred.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and ERP systems.
  • Exceptional written and verbal communication skills.
  • Strong organizational capabilities.
  • Thorough understanding of billing and collection procedures.
  • Ability to work independently with minimal supervision while effectively prioritizing tasks to meet deadlines.
  • Proactive, strategic, and detail-oriented mindset with a commitment to quality and efficiency.

Physical Requirements:

  • Extended periods of sitting at a desk and working on a computer.
  • Occasional standing, walking, and bending.
  • Engagement in repetitive movements of wrists, hands, and fingers for typing and writing.
  • Ability to lift up to 15 pounds as needed.
