Position Summary

Work Schedule: Full-time, 8:30am - 5:00pm

General Overview
Under moderate supervision, this role involves a variety of administrative tasks to enhance clinical operations, including customer engagement, telephone management, appointment scheduling, patient registration, and collection of copayments. The coordinator ensures that provider schedules are efficiently managed, phone communications are handled promptly, and comprehensive registration data is collected prior to or during patient visits.

Key Responsibilities
  • Greet and screen visitors and phone inquiries, providing general information both in person and over the phone.
  • Contact patients to confirm their appointments.
  • Verify patient demographic details, including insurance information, before scheduled visits. Perform data entry for patient information and prepare correspondence as needed.
  • Register patients at each visit, adhering to established protocols for collecting complete and current patient and insurance data. Document patient payments, including co-pays and other charges.
  • Coordinate patient scheduling for physician appointments and maintain updated appointment calendars.
  • Handle all referral requests from physicians and patients promptly and in accordance with clinic procedures.
  • Inform clinical staff of patient arrivals.
  • Maintain a log of incoming visitors.
  • Process and distribute departmental mail.
  • Prepare examination rooms for patient visits, ensuring cleanliness between appointments and at the end of the day.
  • Follow up on lab results and address any discrepancies with lab companies.
  • Organize and update patient files and office documentation, including charts, lab results, x-rays, and dictated notes.
  • Retrieve and prepare charts for current and follow-up appointments.
  • Manage medical records in compliance with established protocols.
  • Discharge patients according to established procedures, including charge entry for visits, scheduling future appointments, and facilitating ancillary services as necessary, while providing patients with receipts for services rendered.
  • Perform additional duties as assigned.
Qualifications
  • High School Diploma or equivalent (GED) is required.
  • A minimum of one (1) year of customer service experience is required.
  • Preferred: One (1) year of relevant front-desk experience, particularly in a healthcare setting.
  • Certification in scheduling and registration is preferred.
