LMI is seeking a highly skilled Correspondence Control Specialist to support our customer in Arlington, Virginia. As a key member of our team, you will be responsible for managing and coordinating executive correspondence packages for senior leader signature.
Key Responsibilities- Edit and Process Executive Correspondence: Ensure that written correspondence products meet Department of Defense standards, guidelines, and updated business rules for written material.
- Utilize Correspondence Management Systems: Use DoD's Correspondence and Task Management System (CATMS) to respond to incoming taskers and task packages forward for signature.
- Coordinate with Subordinate Offices: Assign, review, and route CATMS packages to the appropriate points of contact for action.
- Proofread and Edit: Check correspondence packages for formatting, proofread, and edit as necessary.
- Brief Senior Government Officials: Brief senior government officials on the status of organizational correspondence packages.
- Attend Meetings and Take Notes: Attend and participate in meetings, take meeting notes, record taskers and actions, and update the staff when necessary.
- Task and Coordinate Responses: Task and coordinate responses for FOIA, DoDIG, GAO, and other requests for government information.
- Research and Publish Written Materials: Research, prepare, and publish written materials that explain and interpret policies, programs, and functions.
- Manage Multiple Assignments: Manage multiple assignments from multiple people in a busy work environment.
- Maintain Confidential Information: Maintain confidential or sensitive information and documents.
- DoD Secret Clearance: DoD Secret clearance required.
- Experience Supporting Senior DoD Leadership: 2+ years of experience supporting senior DoD leadership.
- Excellent Communication Skills: Excellent written, oral, and interpersonal communication skills.
- Experience with Correspondence Management: Experience with managing, coordinating, editing, and formatting DoD or other government correspondence packages.
- Familiarity with Government Regulations: Familiarity with the DoD Manual for Written Material, Vols I and II or a comparable government regulation preferred.
- Prior Experience Providing Administrative Support: Prior experience providing administrative support to senior DoD leadership preferred.
- Excellent Organizational Skills: Excellent organizational skills, ability to establish and maintain working relationships with internal and external staff members, and the ability to work independently and take a proactive role.
- Flexibility and Prioritization: Flexibility and ability to prioritize tasks according to senior staff requirements.
- Proficiency in Microsoft Office: Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and SharePoint.
- Team Player: A true team player who maintains a positive attitude in a dynamic environment.
- High Energy and Enthusiasm: High energy, enthusiasm, tact, ability to interact effectively with senior executives from Government and industry as well as Pentagon staff members.
- Ability to Create a Cooperative Work Environment: Ability to create and foster a cooperative work environment.
- Self-Directed and Detail-Oriented: Self-directed, detail oriented in completing assigned tasks, able to adapt to changing work efforts and manage impact of shifting priorities.
