We are seeking a highly organized, detail-oriented, and motivated Land Administrative Coordinator to support our Land and Land Administration team. This role focuses on managing incoming and outgoing mail, assisting with mineral and royalty owner written communications, and supporting processes and workflows to ensure efficient operations across the Land and Land Administration team.

  • Receive, sort, and distribute incoming mail, packages, and correspondence for the Land and Land Administration department.
  • Scan, copy, and distribute documents as directed.
  • Prepare, assemble, and send correspondence to mineral and royalty owners, including but not limited to returned checks, inadequate documentation for transfers of ownership and/or direct deposit requests, and due diligence letters for escheat filings.
  • Assist Land/Land Administration team with various mailouts to owners, track mailings to ensure timely delivery and follow-up as needed.
  • Maintain organized digital and physical filing systems, ensuring easy access to key documents.
  • Timely update information and status of completed tasks in Land Administration workflow software.
  • Ensure proper handling and confidentiality of sensitive information.
  • Perform other duties as assigned by Land/Land Administration leadership.
  • Coordinate with Magnolia's administrative team on mail collection, mailouts, postage, and other items, as needed.
Qualifications:
  • High school diploma or equivalent required.
  • 5+ years of administrative experience. Previous experience in oil and gas or land administration is a plus.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, and Outlook). Proficiency with mail merge is a plus.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks quickly with a high level of accuracy and prioritize effectively.
  • Familiarity with office equipment, including scanners, printers, and postage machines.
  • Basic understanding of land and lease documentation is helpful but not required.
  • Experience with mail tracking systems or land management software is a plus.
