Human Resources Administrative Assistant

Reports To: Human Resources Director

Minimum Qualifications:
  • High School Diploma, Associate's Degree preferred or equivalent experience as deemed appropriate by the Board of Education

  • Demonstrated aptitude and competence for assigned responsibilities
  • Proficiency tests may be included in the interview process
General Description: Performs work of a confidential nature in the following areas: employee relations, employee records, recruitment, data collection, wage classification, employee programs, training and communication. The ideal candidate will be skilled in handling a diverse range of tasks including receptionist duties, employee verifications, scheduling, and office management. Performs work within the district, state and federal statutes, regulations and policies.

Special Knowledge/Skills:
  • Ability to handle sensitive and confidential information with discretion
  • Must have excellent organizational and time management skills and be able to multi-task with numerous interruptions
  • Must have excellent interpersonal skills
  • Telephone and public relations etiquette; Speak tactfully and courteously with students, staff, families and the general public
  • Automated and manual record keeping practices
  • Knowledge of standard office software, including strong working knowledge of word processing and spreadsheet applications, Proficiency in Google Suite and HR software (e.g., Munis, TalentEd, Frontline).
  • Ability to plan and organize work to meet deadlines
  • Sort, classify and compare information with a high level of accuracy
  • Excellent organizational and multitasking abilities
  • Strong communication skills, both written and verbal
  • Detail-oriented with a high level of accuracy
Duties and Responsibilities:
  • Receptionist:
    • Answer incoming calls and redirect as necessary
    • Receive deliveries and sign in visitors
    • Respond to staff emails and voicemail requests/questions
    • Answer and redirect district incoming phone calls
    • Manage interoffice and USPS/certified mail
    • Manage requisitions and supply orders
  • Human Resources:
    • Process and verify employment, loans, EEVs, and certifications as requested
    • Forward detailed payroll information requests to the payroll department
    • Enter certifications into Munis
    • Update job descriptions for posting and review applications in TalentEd for qualified candidates
    • Schedule employment physicals
    • Print staff ID cards
    • Perform off-boarding procedures
    • Maintain a filing system for both physical and electronic documents
    • Enter new employees and update absences/vacancies
    • Handle various HR projects and requests (e.g., attendance history, FOI requests, file audits)
    • Onboarding new employees and clinical students including meeting with new hires to complete required paperwork, fingerprinting, running background checks and processing onboarding paperwork
    • Track and request updated valid drivers' licenses for custodians and tech staff
    • Monitor new employee probation dates and prepare change of status forms
    • Prepare and send NPS yearly contracts, track signed contracts, and file appropriately
    • Other duties as assigned

Terms of Employment: Salary and work year to be determined by the contract between the Norwich Board of Education and the AFSCME Local 1303 .

Evaluation: Performance of this job will be evaluated in accordance with provisions of the Board's policy on evaluation of support services.
