General Description:
The Academic Programs and Supports Administrative Office Associate performs a wide range of administrative functions to facilitate the efficient operation of the team. The Academic Programs and Supports AOA should be highly organized, flexible, and able to manage multiple competing priorities against deadlines and timelines.

Essential Duties and Responsibilities:

  • Supports the Director of Academic Programs and Supports and the Academic Programs and Supports Department with various administrative tasks and can work with multiple teams to coordinate and prioritize workstreams.
  • Processes orders and maintains budgets for multiple teams including athletics, textbook management, summer school, and educational technology integration.
  • Performs tasks in the areas of payroll, accounts payable, and accounts receivable.
  • Maintains a variety of documents and records in an organized and accessible manner.
  • Maintains a supply inventory by checking stock, anticipating needed supplies, placing orders, and verifying receipt.
  • Establishes and maintains effective working relationships with personnel in schools, other offices, vendors, and community partners.
  • Provides exemplary customer service to internal and external stakeholders.
  • Confidentially handles sensitive information.
  • Performs other related duties as assigned.
Qualifications:
  • High school diploma or its equivalent required
  • Two years of office associate experience
  • Excellent verbal and written communication skills
  • General knowledge of business office procedures and equipment
  • Ability to establish and maintain effective working relationships with others
  • Ability to adapt quickly to changing priorities, to work independently, and to complete multiple assignments simultaneously
  • Excellent customer service and public relations skills
  • Experience using Microsoft Office, Google Workspace, LINQ, and other software related to the functions of the role
