Job Title: Logistics Coordinator Job Overview: This will be a crucial role within the Operations Department. This role oversees the lifecycle of parts and machines, from inventory management, ordering, and deployment to end customers and handles invoice matching for billable and non-billable items. This role requires a detail-oriented professional with a strong foundation in logistics and order management, excellent organizational skills, advanced spreadsheet skills using pivot tables and VLOOKUP functions, and the ability to collaborate with multiple departments to ensure operational efficiency and financial accuracy. Key Responsibilities: Inventory Management: Ensure accurate tracking and management of parts and machines inventory levels to meet operational needs while minimizing excess stock. Ordering: Handle the ordering of parts and machines, including negotiating with suppliers, placing orders, and tracking deliveries to ensure timely receipt. Deployment Coordination: Oversee the scheduling and deployment of parts and machines to customers for the operations team, ensuring deliveries are completed accurately and on time to meet customer expectations. Logistics and Supply Chain Optimization: Collaborate with suppliers and internal teams to improve third-party logistics and supply chain processes for increased efficiency and cost-effectiveness. Supplier Relationship Management: Maintain positive relationships with suppliers, evaluate performance, and address issues to ensure quality and reliability. Invoice Matching and Accounting Assistance: Collaborate with the accounting department to match invoices with purchase orders and delivery receipts, resolving discrepancies and ensuring accurate financial records. Reporting and Documentation: Maintain comprehensive inventory, orders, and logistics records. Provide regular reports to management on inventory status, procurement costs, and logistics efficiency. Compliance and Quality Control: Ensure compliance with all relevant laws, regulations, and company policies. Monitor the quality of incoming goods and coordinate with suppliers to address any quality issues.
