The Transportation Permit Associate plays a vital role in supporting the transportation division by facilitating effective operations and communication among drivers, clients, and internal departments. This position is responsible for managing documentation, coordinating schedules, and providing various administrative assistance to ensure the smooth functioning of the trucking operations.
Documentation and Record Management:
- Generate and maintain precise records of transportation activities, including delivery timelines, driver logs, and cargo documentation.
- Handle the processing and filing of transportation-related documents such as bills of lading, delivery confirmations, and compliance paperwork.
Scheduling and Coordination:
- Assist in the planning and dispatching of trucks and drivers to guarantee timely deliveries.
- Collaborate with drivers to verify delivery schedules, routes, and any specific instructions.
- Manage rescheduling and route modifications as necessary.
Client Relations:
- Act as a primary contact for clients, addressing questions, providing updates, and resolving issues related to transportation services.
- Communicate with customers to confirm delivery specifics and address any concerns.
Regulatory Compliance:
- Ensure all transportation activities adhere to federal, state, and local regulations.
- Monitor compliance with safety standards and maintain records for auditing purposes.

Qualifications
- High school diploma or equivalent; an associate degree or vocational training in logistics or business administration is preferred.
- Demonstrated experience in an administrative support role, ideally within the transportation or logistics sector.
- Strong organizational and multitasking abilities with a keen attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with transportation management software is advantageous.
- Ability to work independently and collaboratively in a dynamic environment.
- Knowledge of transportation regulations and compliance is a plus.
Work Environment and Physical Requirements
- Occasional lifting or carrying of office supplies and documents.
- Office environment with occasional site visits or fieldwork.
