Job Description - Administrative and Accounting Assistant Duties

The administrative role involves providing essential support to our valued customers, vendors, partners, employees, and the general public. In the accounting realm, you'll work closely with the members of our Administration and Accounting Department, collaborating directly with the company's Controller and staff accountants. Your responsibilities will encompass a variety of tasks, including but not limited to:
  • Warmly greeting and welcoming guests while ensuring an exceptional level of customer service
  • Answering phone calls with professionalism and clarity, directing them to the appropriate departments or individuals
  • Keeping the lobby area immaculate and inviting to create a professional atmosphere
  • Scheduling and coordinating meetings, events, and similar activities efficiently
  • Managing incoming mail and maintaining an organized mailroom, ensuring all office supplies are well-stocked and functional
  • Receiving faxes and ensuring they reach the correct recipients
  • Timely shredding of confidential records as they come in
  • Overseeing and procuring office and kitchen supplies as needed
  • Maintaining the kitchen by preparing coffee each morning, ensuring cleanliness in the kitchen/break room, restocking drinks/snacks at day's end, and regularly assessing our needs
  • Helping manage and organize document and record storage in accordance with company retention policies and relevant laws
  • Acting as the primary Testing Administrator for CTSI's public testing center (training will be provided)
  • Assisting the Controller and staff accountants with various daily, weekly, and monthly tasks as requested
  • Supporting various daily operations and/or other tasks as assigned
Qualifications and Requirements:
  • Work hours are set from 7:45 am to 1:00 pm, Monday through Friday.
  • Arrive promptly at 7:45 am each weekday.
  • A high school diploma or equivalent is required.
  • Communicate clearly and distinctly when answering the phone.
  • Skills in using computers and office equipment are essential.
  • Must be proficient in Microsoft Office applications, especially Excel.
  • Strong spelling and grammar skills are necessary.
  • Attention to detail is crucial for this role.
  • Enthusiastic and proactive mindset.
  • Ability to work independently while effectively prioritizing tasks is important.
  • Strong time management and organizational skills are required.
  • Must be able to operate a motor vehicle and have dependable transportation for office errands. A valid driver's license, insurance, and a responsible driving record are a must.
  • 2-3 years of experience in bookkeeping or general accounting is preferred.
  • Familiarity with basic accounting principles is preferred.


Work Environment Conditions:

Mostly Inside the office, but some outside (pickup and deliveries)

Equipment Used: (Office equipment, software, etc.)

Office equipment, computer, telephone, other office equipment and software as needed

Physical Requirements:

Normal Office

Medium work (lift up to 40 lbs on occasion)

The employee frequently is required to sit for extended periods of time and use hands to operate computer keyboard, telephone and basic office equipment. May also be required to climb and descend stairs. May also be required to stand, walk, sit, stoop, kneel, crouch or crawl.

While performing the duties of this job, the employee is regularly required to talk and hear

Ability to drive company owned or personal vehicle
