Job Description: THIS IS A FULL TIME POSITION . EMPLOYMENT IS CONTINGENT UPON AVAILABILITY OF CONTINUED FUNDING . This position is located in Athens, Ohio. Hybrid work will be considered. This position is responsible for coordinating events for the Voinovich School, including in person, virtual, and hybrid conferences, workshops, board meetings, receptions, celebrations, guest lectures, etc. Work will include a range of planning and marketing as well as on-the-ground management of logistics, in partnership with program leaders, staff, and students. The position involves collaboration on multi-college events and significant interaction with senior leadership at Ohio University as well as elected officials and agency heads. High levels of professionalism, problem-solving, discretion, and attention to detail are required. Previous event management experience required. Primary duties include: Planning and Liaison – In partnership with others, this position coordinates event planning, including creating the agenda, identifying the appropriate location, developing contact lists and invitations, selecting and hiring speakers and vendors, tracking RSVPs, and assigning tasks at the event. Work includes communicating and collaborating with internal and external stakeholders at all levels and requires the ability to effectively work as part of a team. Logistics – Execute all logistics for events including accommodations related to parking, travel, food, equipment, room set up, registration, materials prep, handouts, etc. For larger events, this will involve coordinating and supervising the work of employees, students, and vendors. For smaller events, the event planner can expect to perform some or all of these tasks. Publicity and Public Relations – In partnership with Program Leaders, the Dean’s Office, and University Communications and Marketing, identify target audiences, develop and carry out public relations activities, and coordinate the documentation of events via articles, social media posts, photography, and video, as needed. This position works closely with the School’s Program Manager for Graphic Design to develop marketing materials for externally funded events. Finance and Data Management – Work with Program Leaders and the Voinovich School’s finance team to create and manage event budgets. This position is responsible for collecting financial, attendance and other applicable data as well as submitting receipts and coordinating payment of vendors. At times, this position may be asked to assist with the collection of data utilized to measure participant satisfaction and event impact. Access to reliable internet to support remote work when needed. Understanding of and be able to travel, most often locally or within the state of Ohio; may occasionally be asked to travel out of state to staff college events or national conferences. Minimum Qualifications: Minimum qualifications include a Bachelor’s degree in any field. At least 3 years of any work experience and at least one year of management experience is required.
