Who we’re looking for
Toyota’s Experience Center Management Department seeks a passionate and highly motivated Administrative Specialist .
They are responsible for the processing of multiple administrative and accounting activities generated via various queues or sources including electronic work queues, system reports, databases, and incoming correspondence. This role is also responsible for performing account and transaction research, resolving escalations, working closely with Corporate Accounting to understand and clear variances and partnering closely with their leadership team to implement change with a continued focus on process improvement. Meet compliance expectations for all Standard Operating Procedures as well as Policies and Procedures.
What you’ll be doing
Areas of responsibility will include:
-
Fulfills all assigned customer account related requests in a timely manner.
-
Complete account maintenance requests received in electronic work queue or file
-
Manage unidentified/suspended items related to customer accounts.
-
Research and correct funds application errors on open and charged off accounts for example, NSF’s, misapplied payments, duplicate payments.
-
Research and resolve aged items and deposit variances.
-
Remediate cross-department handoffs including communication, resolution, and follow-up.
-
Work closely with leaders and peers to balance varying service level needs and remediation projects.
-
Effectively communicate with peer groups to reconcile specific accounts and calibrate processes as necessary.
-
Partner with Planning and Support teams on SOP revisions including but not limited to job aids and training tools, and trend analysis/resolution.
-
Perform other job duties as assigned by supervisor.

Strong data entry and administrative experience with a focus on attention to detail

Keyboarding and navigation skills between various programs and systems simultaneously

Ability to follow written Standard Operating Procedures and privacy standards

Basic understanding of accounting principles such as debits, credits, and balancing accounts
-
Experience working with financial customer account transactions including overpayments, payment history, and adjustments.

Working knowledge of Microsoft Office applications (Word, Excel, Access, and Outlook)

Ability to use critical thinking skills to independently make decisions when appropriate

Ability to shift effectively between tasks and manage time amid multiple deadlines
