RESPONSIBILITIES

  • Assist Program leadership with the review of enrollment documents and correspondence to applicants as needed.
  • Maintain administrative and logistical needs of the program.
  • Act as liaison corresponding between direct Program and departmental Staff, Participants, and Worksites; also keeping updated participant information.
  • Promptly answer telephone and correspond as appropriate with program participants, employers, etc., via phone/email for follow-up including any outstanding signatures and/or documents as needed.
  • Help to plan and implement special events for fathers and their children.
  • Participate in multidisciplinary case conferences team building activities, meetings, where applicable.
  • As an active team member, assist in ensuring the program team is on task to meet any deadlines set by the Program Director.
  • Maintain attendance records, certificates of completion, and all relevant information for program participants. Assist with entering participant attendance to ensure requirements are met for program completion.
  • Ensure all compliance with BronxWorks file management requirements.
  • Assist with the collection and distribution of donation items as needed.
  • Understand and adhere to organization, department and program policy and procedures.
  • Additional duties as assigned.
QUALIFICATIONS
  • High School Diploma or HSE/GED required. Some college preferred.
  • A minimum of 2 years of proven work experience as a Program Assistant or similar role. Preferably in a social service/human service setting.
  • Computer literacy and proficiency in Microsoft Office suite, ability to navigate the internet, use of social media and other standard business technology is required. Experience with Salesforce Data system is a plus.
  • Excellent interpersonal and communication skills required. Adheres to confidentiality requirements.
  • Familiarity with the communities being served; knowledge and understanding of local needs/resources is a plus.
  • Friendly, professional demeanor both in person and over the telephone/videoconference.
  • Dresses in a manner appropriate to the position.
  • Interacts patiently and respectfully with participants, staff, volunteers, and the community, of differing backgrounds, experiences, perspectives, and economic situations.
  • Organized to be task and time management oriented and able to oversee multiple projects at once. Also, adaptable to change based on the changing needs of the program.
  • Must be flexible, with availability to work a rotational schedule which may include Saturdays.
  • Bi-lingual fluency and literacy in Spanish preferred.
  • Relevant training and/or certifications as a Program Assistant preferred.
  • Demonstrated familiarity with relevant community resources, an added plus
PHYSICAL REQUIREMENTS
  • Ability to use a computer for prolonged periods.
  • Ability to occasionally lift and/or move up to 10 pounds.
  • Ability to stand, walk, or sit for long periods of time.
  • Ability to climb five flights of stairs, if required to conduct home visits and/or fieldwork.
  • Ability to bend and retrieve objects and/or documents.
  • Ability to travel in the boroughs of New York City and its adjacent counties via public transportation.
  • Ability to travel for a minimum of 1 mile within a reasonable amount of time and in all types of weather, including inclement weather, if required to conduct home visits and/or field work.
