Company Description: Specular Theory is an award-winning immersive content and technology startup.  We create a wide variety of VR experiences ranging in entertainment, education, enterprise, and gaming.  Our company creatively drives all productions from beginning to end with a unique company culture of experimenting, breaking new ground, and winning awards.  You will be working with our Aerospace VR training division to develop next-gen software and hardware that adds functionality to custom flight controls.  You will combine state-of-the-art virtual and mixed reality environments with motion control systems to replicate real flight.  

Job Description Summary:  Specular Theory has several new products in development, so we are expanding our hardware team in Livermore, CA that designs, manufactures, and assembles flight simulators.  We are looking for a detail-oriented and experienced Procurement Specialist to join our team.  The successful candidate will be responsible for managing the procurement process, ensuring timely and cost-effective acquisition of hardware, and maintaining strong relationships with vendors. 

Roles and Responsibilities

  • Develop and implement strategies and procedures to procure flight simulator hardware.
  • Purchase commercial off the shelf (COTS) parts, specialized vendor parts, electronic components, raw material, and custom fabricated parts using a bill of materials (BOM).
  • Collaborate with internal departments to understand their daily hardware procurement needs and make one-time purchases for unique items not on the BOM.
  • Request vendor quotes and submit purchase orders and other procurement documents.
  • Collect receipts and invoices in a SharePoint and track hardware costs to purchase orders.
  • Identify and evaluate potential new vendors to expand the existing supply chain.
  • Work with Accounting to set up corporate accounts and billing for approved vendors.
  • Negotiate contracts and discounts and establish long-term partnerships with vendors.
  • Maintain accurate records of procurement activities, including documentation of purchases, hardware lead times and delivery dates, and cost summaries.
  • Ensure vendors comply with contractual terms and conditions.
  • Monitor vendor delivery and quality metrics and overall vendor performance.
  • Act as a vendor liaison and address any vendor issues that arise.
  • Report procurement metrics to the hardware team lead and identify areas for improvement and cost savings.
  • Conduct market research to stay informed of industry trends and best practices.
  • Ensure compliance with company policies, legal requirements, and ethical standards in all procurement activities.
  • Long-term, help establish formal Material Requirements Planning (MRP) and implement MRP and other supply chain software.

Required Qualifications

  • Proven experience as a Procurement Specialist in hardware or manufacturing industries.
  • Technical proficiency and ability to understand basic engineering inputs and BOM’s.   
  • Ability to interpret CAD drawings and models and submit them to vendors to quote.
  • Proficiency with Windows computers, the MS Office suite, and working in SharePoint databases.
  • Proficiency with MS Excel and building spreadsheets to effectively track procurement status.
  • Attention to detail and a high level of organization and accuracy when documenting procurement status.
  • Strong communication and interpersonal skills to support internal stakeholders’ needs and to develop and manage relationships with external vendors. 
  • Strategic thinker who can plan for the future and adapt to a changing environment.
  • Ability to work independently and to collaborate in cross-functional teams.
  • Being comfortable in a rapid start-up environment that may involve multiple projects and have shifting priorities with tight deadlines.
  • Being flexible and willing to occasionally work on small tasks outside this basic job description.

Preferred Skills

  • Experience procuring sheet metal, 3D printed additive parts, machined parts, and electronics.
  • Experience with procurement software like ClickUp, Coupa, Kissflow, GEP SMART, or Procurify.
  • Experience with MRP software like Katana MRP, Fishbowl Manufacturing, MRPeasy, or Statii.
  • Experience with ERP software like Oracle, SAP, or MS Dynamics 365.
  • Experience with cost data analysis.
  • Strong negotiation and contract management skills.
  • Knowledge of procurement laws and regulations.

Education and Experience

  • Bachelors degree in Business Administration, Supply Chain Management, or a related field.
  • Minimum of 5 years of experience in procurement for a manufacturing company.
  • To conform to US Government export regulations and our customer’s requirements, the applicant must be a US citizen.
