The Division of Management Services (DMS) is currently recruiting to fill an Executive Staff Assistant position. This position will be headquartered at our central office in Madison, WI. Position Summary This position provides direction and supports the administrative functions and support services for all of the DMS. Duties include coordination and facilitation of special projects and administrative assignments, development of databases and tracking systems, maintaining electronic calendars, processing communications timely and accurately, drafting documents as directed, and providing overall administrative support functions for the Division. This position has contact with public officials including the Secretary’s Office, legislators, bureau/office directors, division administrators, wardens, and superintendents, other state agencies, local officials, and the media. Salary Information The starting pay is between $42,952 and $79,144 per year, plus excellent benefits. Pay will be set in accordance with the Compensation Plan and Wisconsin Administrative Code in effect at the time of hire. The pay schedule/range is 81-04. A 12-month probationary period is required. Job Details Applicants must be legally entitled to work in the United States (i.e., a citizen or national of the U.S., a lawful permanent resident, an alien authorized to work in the U.S. without DOC sponsorship) at the time of application. The Department of Corrections will conduct criminal background checks on applicants prior to selection to determine whether the circumstances of any conviction may be related to the job being filled. Upon hire, all new DOC employees are subject to fingerprinting. The Department of Corrections may conduct pre-employment drug screens. Any applicant who is offered employment in a position that requires a pre-employment drug screen must pass the screen as a contingency to employment. Applicants who fail or refuse the drug screen will not be given further consideration for employment. Note: This position will be able to work remotely 1 day a week. Qualifications Minimally qualified applicants will have experience and/or training: Providing administrative support for management in an organization (i.e., organizing meetings/events; setting agendas; taking meeting minutes; scheduling calendars; making travel arrangements; composing correspondence; and proofreading documents, etc.). Preparing written reports and communication materials (e.g., memos, summaries, etc.). Utilizing computer applications such as Microsoft Office Suite (Outlook, Word, Excel, etc.) to create or manage data, reports, spreadsheets, memos, etc. In addition to the above, well-qualified applicants will have experience: Working as a liaison with stakeholders.
